Job Summary:

The Documentation Admin / Site Assistant is responsible for managing all project-related documentation and coordinating with local government offices to secure permits and clearances. The role supports the Site Manager by organizing records, tracking reports, and ensuring all administrative and compliance requirements are completed on time to prevent project delays.

Responsibilities:

  • Coordinate with local LGUs (Barangay, City Hall, etc.) to gather, submit, and follow up on all permits and clearances related to construction, grid connection, and compliance (e.g., ECC, Building Permit, CFEI)
  • Support the Site Manager by handling on-site documentation, including daily logs, site photos, attendance records, and incident reports
  • Help monitor material deliveries, manage document signatures, and assist with contractor payroll or timekeeping logs when needed
  • Like the Site Manager's assistant — helps with all the paperwork, especially for LGU permits
  • Keeps track of daily reports, site photos, and attendance logs
  • Goes to Barangay or City Hall when needed to follow up documents
  • Helps the team stay organized so nothing gets delayed because of missing permits or paperwork

Qualifications (Minimum Requirements):

  • College graduate, preferably in Business Administration, Office Management, or any related field
  • With at least 1–2 years of experience in administrative or site documentation work
  • Familiar with LGU processes and permit applications (e.g., ECC, Building Permit, CFEI)
  • Proficient in Microsoft Office or Google Workspace for document management and reporting
  • With strong organization and coordination skills
  • Willing to travel to government offices or project sites when needed
  • Detail-oriented, proactive, and able to work under minimal supervision
