Synopsis of Role:

The job function of operations assistant is to ensure the smooth functioning of an organization's day-to-day operations. This includes managing production processes, scheduling, inventory, personnel, facilities, and ensuring compliance with relevant laws and regulations. He/She is responsible for coordinating and managing resources to ensure that the organization runs efficiently and meets its goals and objectives. The operations staff plays a critical role in ensuring the overall success of an organization by ensuring that resources are utilized effectively and that the organization is operating at optimal levels.

Essential Functions:

  • Ensures the smooth running of the center and manages all administrative tasks.
  • Manages the center filing and record keeping systems.
  • Manages center supplies, inventory, packages and deliveries including procurement of materials for all classes,
  • Manages center equipment and ensures proper maintenance.
  • Manages kits, packages and deliveries.
  • Manages center security and access control.
  • Handles customer inquiries and provides excellent customer service.
  • Prepares and submit regular reports to the Center Head
  • Maintains confidentiality of sensitive information
  • Handles preparation of all courses (onsite/offsite):
  • Venue/room reservations (prepares CEO, ORF, BEO)
  • Materials such as recipes, course kits of attendees, registration forms for the program
  • Certificates of the participants
  • Administers and monitors evaluations and feedback forms for all courses and events.
  • Provides support to the instructor during the conduct of training/workshop.
  • Coordinates closely with the Center Head of Estancia, Sales, Instructors, Sponsors re: details of classes and events.
  • Coordinates with other departments to ensure smooth communication and collaboration.

Qualifications:

  • Bachelor's degree in Business Administration or equivalent
  • With 2-3 years of relevant work experience
