The Clinic Receptionist serves as the first point of contact for patients, visitors, and external partners, creating a professional and welcoming environment in the clinic. This role is essential in ensuring smooth day-to-day operations by managing the front desk, handling patient inquiries, coordinating appointments, and providing administrative and financial support. The Receptionist plays a vital role in maintaining efficient clinic workflow, enhancing the overall patient experience, and supporting the dental team. Strong communication, organizational skills, and attention to detail are critical in fulfilling the responsibilities of this position.

ROLES AND RESPONSIBILITIES:

Front Desk & Reception Management

  • Greet and welcome patients and visitors in a friendly, professional manner.
  • Set up the reception area each morning, ensuring the laptop, clinic mobile phone, and hallway monitor are ready for use.
  • Maintain cleanliness and orderliness of the reception and waiting areas throughout the day and before closing.
  • Ensure the reception area reflects a positive image of the clinic and provides a comfortable environment for patients.

Patient Relations & Appointment Management

  • Respond promptly and professionally to patient inquiries through social media channels such as Facebook, Messenger, and Instagram.
  • Manage appointment scheduling, confirmations, rescheduling, and cancellations.
  • Follow up with patients who previously inquired but did not secure appointments, updating them on new availability.
  • Assist walk-in patients by providing forms, guiding them through completion, and ensuring consent forms are prepared when required.
  • Direct patients to the appropriate treatment areas and coordinate with clinical staff to ensure smooth patient flow.

Administrative Support

  • Update the daily appointment schedule and immediately communicate changes to the Clinic Admin.
  • Accurately record patient procedures, treatments, and transactions in the designated systems. (MyDMD, Google Sheets)
  • Assist in generating reports, compiling records, and maintaining proper documentation.
  • Support the Clinic Admin in coordinating administrative processes to ensure clinic efficiency.
  • Expense Tracking, Purchasing, and Inventory Management

Financial & Transaction Handling

  • Prepare and issue official receipts for payments. (Manual OR or printed receipt from MyDMD)
  • Verify all printed receipts and system entries for accuracy, coordinating with the Clinic Admin when needed.
  • Prepare the end-of-day sales summary and circulate it to the team for daily financial reporting.
  • Assist in basic reconciliation of payments and ensure proper filing of financial records.

Other Responsibilities

  • Participate in clinic activities, workshops, or training sessions as required.
  • Handle patient and visitor inquiries in a timely manner, escalating concerns to the Clinic Admin when appropriate.
  • Uphold and promote clinic policies, values, and professional standards at all times.

ESSENTIAL SKILLS: ADMINISTRATIVE & OPERATIONAL

  • Clinic reception and scheduling management
  • Social media and online inquiry handling
  • Data entry, transaction recording, and report preparation
  • End-of-day sales summary and financial reconciliation
  • Proficiency in Google Sheets, Google Chat, Microsoft Excel, and basic office equipment (laptop, printer, mobile phone)

LEADERSHIP & MANAGEMENT

  • Ability to prioritize tasks and manage patient flow during busy clinic hours
  • Problem-solving and conflict resolution skills when addressing patient concerns
  • Support clinic operations by ensuring coordination between patients and staff
  • Demonstrate professionalism and composure under pressure

COMMUNICATION & INTERPERSONAL

  • Excellent verbal and written communication skills
  • Strong interpersonal skills with the ability to build rapport and trust with patients
  • Professionalism and diplomacy in all patient and staff interaction
  • Ability to manage multiple tasks simultaneously with strong attention to detail
  • Patient-focused with a warm, approachable, and welcoming personality
