We are looking to hire a highly motivated Unit Assistant who will be responsible for providing administrative and clerical services in the unit. He/she ensures accurate and timely entry of patient charges specific to his/her assigned area. S/He assists in completing, organizing, and filing patient documentation, routes important communication, and performs other tasks as needed in the unit's day to day operations.

S/He liaises with patients or significant others in collecting medical related documents from other departments or for other administrative concerns.  Escalates any medical issues or concerns outside his/her scope to the immediate superior and/or the Attending Physician.  Closely coordinates with other departments/representatives for early resolution of patient and/or SO's requests and needs

Additionally, s/he entertains simple patient requests, questions & concerns, either through escalation or through his/her own initiative in accordance to hospital policy, and performs other duties as directed by his/her immediate superior.

These tasks are subject to change depending on the nature of service of the division/department or business direction.

  • Processes patient documentation / accounts (e.g. printing out of discharge instructions, discharge summary, hand-over of medical certificate, printing of medical abstract, photocopy of test results – MRI, etc.), reviews data per procedure; ensures that the appropriate and accurate charges are applied to the patient's record.
  • Answers calls, takes messages from patients or their significant others, from nurses or from other hospital staff in general except for clinical directives, and relays them to the appropriate individuals in a timely manner.
  • Provides directions to walk-ins or visitors or within the hospital premises as needed.
  • Entertains simple requests, questions and concerns, (e.g.) housekeeping service, location of nearest pharmacy, adjustment of room temperature, schedule of rounds of attending physician, etc.
  • Performs accurate and timely documentation as required; prepares and submits all required reports / documents as assigned.
  • Responsible for keeping his/her workplace clean and organized.
  • Escalates or informs the immediate superior regarding low stock level supplies / materials for replenishment.
  • Responsible for assuring the availability of all tools and materials needed for his/her function
  • Relays any information or provides suggestions to his/her immediate superior regarding any issues / concerns in the practice of his/her function; Immediately informs her/his immediate superior of any and all deviations from standards within the same day of the incident.
  • Recommends implementable innovations and improvements in the practice of his/her functions in order to continuously improve the quality of service in the unit.
  • Provides support to the unit within his/her level in addressing the needs or queries of internal/external customers.
  • Participates in the continuous quality improvement of service, safety procedures and activities.
  • Performs other duties and responsibilities as may be assigned or requested by immediate superior or management from time to time.

QUALIFICATIONS:

  • At least two years in college, preferably in any healthcare related course.
  • Must be computer literate. Knowledge in Microsoft office application is preferred.
  • Relevant experience in records management is a plus.
  • Has good clerical skills.
  • Has strong sense of good customer service.
  • Has good communication skills. Proficiency in Visayan and Tagalog are required, ability to communicate in English is an advantage.
  • Must commit to maintain patient confidentiality at all times.
