We are seeking a detail-oriented and reliable Accounting Virtual Assistant w/ experience in Financial Controlling to support our accounting and financial operations. The ideal candidate will handle daily bookkeeping tasks, manage account reconciliations, process payroll, and ensure accurate financial records. This role requires strong attention to detail, excellent organizational skills, and proficiency with accounting software.

Key Responsibilities:

  • Operating Account Management - Maintain and monitor the company's day-to-day operating accounts, ensuring all transactions are recorded accurately.
  • Trust Account Management - Handle and reconcile trust accounts in compliance with relevant regulations and organizational policies.
  • Budgeting & Forecasting - Preparing budgets and predicting future financial results.
  • Financial Analysis - Analyzing actual performance vs. planned performance.
  • Fund Distributions Assist in preparing and processing distributions from relevant accounts, ensuring accuracy and timeliness.
  • Accounts Payable Manage vendor invoices, schedule payments, and maintain accurate records of all accounts payable transactions.
  • Payroll Processing Support payroll operations by preparing timesheets, ensuring accurate calculations, and coordinating disbursement with HR or external providers.
  • Cost Control - Monitoring expenses and ensuring cost efficiency.
  • Financial Reporting - Preparing financial reports for management (monthly/quarterly/annual).
  • Internal Controls & Compliance - Ensuring processes follow company policies and financial regulations.

Requirements

  • Proven experience in bookkeeping, accounting, or related roles
  • Proficiency with accounting software (e.g., QuickBooks, Xero, or similar)
  • Strong understanding of financial and accounting principles
  • High attention to detail and accuracy
  • Ability to work independently and meet deadlines
  • Excellent communication and organizational skills
  • Experience in payroll and 1099 processing is a plus
  • Experience working in a virtual or remote environment is a plus
  • Willingness to work in US time zones (PST, EST, CST).
  • High school diploma or equivalent.

System and Work Setup Requirements:

  • A stable and high-speed internet connection preferably 25 MBPS or higher with backup in cases of power interruption or service provider issues.
  • Own PC/laptop with 8GB RAM, and a processor of Core i5 / AMD Ryzen 3 / 2013 Mac equivalent or higher; Windows 10 or above / Catalina 10.15 or newer; with up-to-date web browsers, and security software, 500GB/128 SSD storage
  • Headset/earphone with noise cancellation and webcam at 720p or higher resolution
  • A designated, quiet, and well-organized workspace free from distractions to facilitate focused work
