Key Responsibilities

1. Executive Support

  • Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming emails, phone calls, and correspondence.
  • Prepare and edit reports, presentations, and business documents.
  • Take meeting minutes, track action items, and follow up on deadlines.

2. Office & Administrative Management

  • Serve as a liaison between executives, staff, clients, and external partners.
  • Organize and maintain digital and physical filing systems.
  • Coordinate office logistics, including supplies, equipment, and vendor relations.
  • Assist with event planning, conferences, and corporate meetings.

3. Communication & Coordination

  • Draft and proofread business communications (emails, memos, letters).
  • Handle confidential and sensitive information with discretion.
  • Facilitate internal and external communication on behalf of executives.

4. Project & Task Assistance

  • Conduct research and compile data for reports and decision-making.
  • Assist with special projects, process improvements, and operational tasks.
  • Track budgets, expenses, and financial documentation as needed.

Qualifications & Skills

Education & Experience

  • Bachelor's degree in Business Administration, Management, or related field (preferred).
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Experience in corporate, legal, or financial environments (a plus).

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Google Workspace, Zoom, Slack, or project management tools.
  • Knowledge of CRM software (e.g., Salesforce) or virtual meeting platforms (a plus).

Soft Skills

  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication.
  • Discretion and professionalism in handling confidential matters.
  • Problem-solving mindset with attention to detail.
  • Ability to work independently and under pressure.
