We are looking for a Maritime Crewing Assistant to join our growing team and support our crewing operations department.

Job Description

The Maritime Crewing Assistant will provide administrative and operational support to the Crewing Department to ensure efficient crew management and deployment. This position involves handling crew documentation, coordinating with various agencies, and assisting in crew logistics and compliance requirements.

Key Responsibilities

  • Assist in processing and maintaining crew documents, licenses, and certificates.
  • Coordinate with manning agents, government offices (MARINA, POEA, etc.), and vessel representatives regarding crew requirements.
  • Update and maintain the crew database and master list.
  • Prepare and file deployment papers, contract sign-ons/sign-offs, and travel arrangements.
  • Support the scheduling of crew training, briefing, and medical examinations.
  • Assist in monitoring crew certificate validity and renewal schedules.
  • Provide administrative assistance to the Crewing Supervisor/Manager.
  • Coordinate and Provide administrative assistance to Recruitment/HR Manager.
  • Perform other related duties as may be assigned.

Qualifications

  • Graduate of Maritime, Business Administration, or HR-related course.
  • At least 1 year of experience in crewing, HR, or maritime administrative work (fresh graduates with maritime background may also apply).
  • Familiar with MARINA and POEA requirements is an advantage.
  • Excellent organizational and communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Google Docs, Sheets, Forms etc.)
  • Keen attention to detail and ability to handle multiple tasks.
