OVERALL PURPOSE (ACCOUNTING MANAGER)

The Accounting Manager is responsible for leading and managing the day-today accounting operations of Good Cup Coffee. This includes Accounts

Payable (AP), Accounts Receivable (AR), General Ledger (GL), Tax Compliance

Support, and Financial Reporting. The role is operational in nature, focused on

process excellence, accurate reporting, and timely reconciliation using Odoo as

the core accounting platform. The Accounting Manager will supervise the AP

and AR Officers and work closely with the Tax Liaison Officer.

ROLES & RESPONSIBILITIES

1. Supervising Accounts Payable Officer, Accountable for Accounts Payable

(AP)

Supervise AP Officer in the processing and posting of supplier invoices and

payments.

Monitor aging schedules and ensure timely disbursement cycles.

Review and approve the Weekly Accounts Payable Report and Bank &

Loans Payable Report.

2. Supervising Accounts Receivable Officer, Accountable for Accounts

Receivable (AR)

Supervise AR Officer in the encoding of receivables, daily café sales, and

Shopify deposits.

Oversee accurate and timely recording of sales and collections for both

DTC and wholesale.

Monitor and validate Daily Sales / Collection / Deposit Reports and ensure

weekly cash position reporting is on schedule.

3. General Ledger & Month-End Close

Maintain an accurate and organized chart of accounts.

Ensure all journal entries are timely and correctly posted in Odoo.

Lead the month-end closing process and achieve a 5-working-day closing

schedule.

4. Financial Reporting

Prepare and submit:

Monthly Profit and Loss Statement (comparative format)

P&L Variance Analysis (horizontal and vertical)

Monthly Balance Sheet

Monthly Cash Flow Statement

Weekly Cash Position Report

POS E-Sales Report for BIR submission before the 8th of each month

5. Tax Compliance Support

Collaborate with the Tax Liaison Officer (Raquel) to provide:

Total Sales for the month

Detailed Purchases for taxes withheld

Total Expenses for the month

Alphalist data for Sales and Purchases

VAT Relief Data Entry files

6. Maya & Merchant Settlement Reconciliation

(We will onboard you properly for this. Paymaya, Shopify and Odoo are

platforms we use)

Oversee reconciliation of PayMaya (Maya Business) settlements from

Shopify:

for DTC

for wholesale

Match Online Shopify sales with Maya net settlements, including

transaction fee validation. (We will train you for this)

Track and reconcile refunds and ensure accurate posting in both Odoo and

bank records.

Generate and maintain a Weekly Maya Settlement Reconciliation Report,

including J&T and other logistics/merchant platforms.

7. Process Improvement & Systems Optimization

(We will onboard you with this)

Lead full optimization of Odoo for accounting workflows.

Implement auto-invoice printing linked with fulfillment completion.

Simplify and document the Maya refund process.

Reduce manual steps and improve automation across AP/AR processes.

8. Team Leadership

Manage, coach, and audit the performance of AP and AR Officers.

Conduct weekly check-ins and performance evaluations.

Lead training efforts for team proficiency in Odoo and internal SOPs.
