Position: Executive Assistant

Position Overview: The owner's primary business is the CPA firm and most tasks will support this. There will also be support for a land flipping business + personal assistance.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Email management including deleting junk and unsubscribing to solicitations
  • Scheduling meetings and calendar management
  • Phone tasks related to the Accounting Firm

  • Handle incoming messages then route to proper person

    • Note: Each staff has their own extension
    • Asking for appointments, or to talk with me for a tax question
    • Outbound calls to/from potential new clients
    • Land Flipping: Calling potential land sales or land purchases – this is a separate business entity
    • Social Media
  • Postings & Interactions

  • Twitter
  • Facebook
  • Google My Business
  • Linkedin
  • Lists
  • For 2 Companies:

  • Accounting Firms

  • Land Flipping
  • Billing

  • Emailing

  • Following up with outstanding bills either email or phone
  • Interfacing with key staff members and clients
  • Attending zoom meetings and taking notes
  • Updating internal reports and SOP's
  • Assisting with projects as directed
  • Assisting with travel

Key Qualifications

  • 4-5 years of work experience including 2 years assisting an executive/owner
  • Computer/online savvy. Ability to use a variety of online applications including: Zoom, Google Suite and Office 365 tools (including Outlook), Twitter and Facebook.
  • Intermediate skill for PC using google apps, Microsoft Office (Excel, Word, Power Point), and email tools.
  • Strong Written and Oral English + interpersonal skills to communicate effectively
  • Ability to problem solve
  • High ability to "Get Stuff Done" and "Figure It Out"
  • Fast learner (i.e., quick "pick up")
  • Strong attention to detail / highly organized
  • Committed to growth and learning
  • Experience with Accounting/Bookkeeping is a "nice to have"
  • Reliable, and proven track record to work "night shift" in Philippines

Shift / Hours:

Monday – Friday in one single shift, 8:00 PM PHT – 5:00 AM in PHT.
