Job Overview:
We are seeking a detail-oriented and proactive Administrative & Operations Assistant to support day-to-day business functions across administration, inventory management, customer assistance, and office coordination. This role is ideal for someone who thrives in a dynamic environment and enjoys wearing multiple hats to keep operations running smoothly.
Key Responsibilities:
Administrative Support
- Manage daily office tasks including document preparation, correspondence, and file organization (digital and physical).
- Schedule and coordinate internal and external meetings and appointments.
- Maintain and improve organizational systems to ensure operational efficiency.
Inventory & Product Support
- Monitor and organize inventory of baby essentials (e.g., diapers, wipes, lotions).
- Communicate with warehouse or supply chain teams to track stock levels.
- Prepare and submit purchase orders to restock inventory as needed.
Sales & Customer Assistance
- Process paperwork related to sales transactions including invoices, receipts, and delivery documentation.
- Respond to basic customer inquiries or direct them to the appropriate team or department.
Data Entry & Reporting
- Accurately input and update data in spreadsheets and internal systems (e.g., inventory, sales, expenses).
- Generate regular and ad hoc reports to support purchasing decisions and management insights.
Office Coordination
- Monitor office supplies and coordinate reorders to maintain stock levels.
- Ensure the office environment is well-organized and fully functional.
- Act as a liaison between departments such as marketing, finance, and logistics to facilitate smooth communication.
Qualifications:
- At least 2 years or 4 years course College graduate
- Previous experience in administrative or operations support roles preferred.
- Experience in email communications
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite and Google Workspace.
- Excellent communication skills, both verbal and written.
- Detail-oriented with a high level of accuracy in data entry and documentation.
- Ability to work independently and collaboratively across teams.
- Amenable to work onsite, Monday to Friday at Cubao, Quezon City
Job Type: Full-time
Pay: Php19, Php22,000.00 per month
