Job Position: Administrative & Operations Assistant
Overview:
We are in search of a highly organized and proactive Administrative & Operations Assistant to help manage the daily operations of the business. This position involves a mix of administrative duties, inventory oversight, basic customer support, and office coordination. It's best suited for someone who thrives in a dynamic work setting and is comfortable handling multiple responsibilities to support smooth operational flow.
Primary Responsibilities: Administrative Tasks
- Perform routine office duties including creating documents, managing correspondence, and filing both digital and physical records.
- Arrange and manage schedules for internal and external meetings.
- Develop and maintain systems that improve workflow and organizational efficiency.
Inventory and Product Management
- Track and manage stock levels for baby products such as diapers, wipes, and lotions.
- Liaise with warehouse and logistics teams to monitor inventory levels.
- Create and process purchase orders when stock replenishment is needed.
Sales and Customer Relations
- Handle sales documentation, including invoicing, receipts, and delivery records.
- Respond to basic customer questions or direct them to the appropriate department.
Data Management and Reporting
- Accurately enter and update data in spreadsheets and company systems, including inventory, sales, and expense records.
- Produce standard and on-demand reports to support operational and purchasing decisions.
Office Operations
- Track office supply levels and coordinate restocking as needed.
- Maintain a clean, orderly, and efficient office environment.
- Act as a communication bridge between departments such as marketing, finance, and logistics.
Qualifications:
- Graduate of a 2-year or 4-year college course.
- Prior experience in administrative or operations support is a plus.
- Competent in handling email communications in a professional setting.
- Strong multitasking and organizational skills.
- Proficient in Microsoft Office and Google Workspace applications.
- Effective communication skills, both written and verbal.
- High level of accuracy and attention to detail in documentation and data entry.
- Capable of working both independently and collaboratively.
- Must be willing to work onsite, Monday to Friday, in Cubao, Quezon City.
Job Type: Full-time
Pay: Php19, Php22,000.00 per month
