Job Description

As an Executive Assistant, you will provide top-tier support to the leadership team through seamless calendar, inbox, and travel management, document preparation, event coordination, and internal operations. This role demands proactive communication, multi-tasking finesse, and the confidence to drive high-level support functions from behind the scenes.

Shift: Night shift; Monday to Friday 8:00 PM to 5:00 AM PHT

The Qualifications We Seek

  • Bachelor's degree in Business Administration, Communications, or a related field (preferred)
  • Minimum of 3 years' experience in an Executive Assistant or similar administrative role
  • Proven ability to support multiple executives with calendar, email, and meeting management
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
  • High level of professionalism and discretion when handling sensitive information
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Familiarity with CRM systems and video conferencing tools (e.g., Zoom, Teams, Google Meet)
  • Experience coordinating travel, preparing itineraries, and assisting with company events

Your Daily Tasks

Executive Support

  • Provide high-level support to the CEO and partner team, including managing schedules, preparing reports, and facilitating communication.
  • Monitor, coordinate, organize, and manage the leadership team's calendars and email accounts to ensure appropriate follow-up, and assist in organizing inboxes.
  • Coordinate and book travel for the leadership team.
  • Draft letters, memos, meeting notes, reports, and other documents.
  • Support the leadership team in capturing accurate and timely business development activities in Zoho CRM.
  • Support the leadership team in tracking and organizing business expenses and receipts.
  • Assist with new client setup by creating new project codes, shared folders, and sending welcome emails to clients.

Office Management

  • Manage relationships with 3rd party IT services provider, and other technology services and platforms.
  • Provide clerical support to partners when needed, in the areas of Human Resources, IT, and Accounting.

Event Coordination

  • Plan, coordinate, and oversee company events for various stakeholder groups.
  • Manage the firm's annual calendar of events, including volunteer days and coordinate activities, firm happy hours, welcome to the team lunches, and the company holiday party.
  • Oversee gifting for clients, team members, and referral networks.

Communication & Documentation Management

  • Facilitate communication between partners and internal/external stakeholders, including drafting correspondence and managing email.
  • Prepare, edit, and distribute reports, presentations, and other documents.

Special Projects

  • Assist with special projects and initiatives as needed.
