We're seeking a General Virtual Assistant to join our growing team. You'll help keep our live calls, communities, and student resources running smoothly. Specific tasks will be assigned. You'll have a mix of recurring duties and "as-needed" projects.
A core responsibility of this role is to create and update Standard Operating Procedures (SOPs). This means documenting a clear, step-by-step guide for recurring tasks to ensure consistency and efficiency across the team. You will be responsible for maintaining and updating these SOPs as procedures evolve, ensuring the documentation always reflects the most current and effective methods.
What You'll Do (specific tasks based upon experience, interests and business needs):
Live Call Support
- Join and assist on Zoom coaching calls (admit participants, monitor chat, share links, note issues)
- Post recaps, timestamps, advance questions, and resources after calls
Community & Customer Support
- Moderate Facebook groups (approve members, welcome posts, remove spam, reply to DMs)
- Answer student questions in Zoho/SMS/Facebook inboxes; escalate when needed
Content, Assets & Platform
- Move recordings from Zoom → Vimeo → Kajabi; manage titles, thumbnails, audio uploads
- Post weekly digests/updates to membership sites and groups
- Manage testimonials (collect, light edits like blurring check amounts, upload transcripts/media)
- Support "Business Completion Challenge" and other student milestones
Reporting & Admin
- Maintain weekly KPI/stats sheets and monthly revenue updates (simple data entry)
- Log call changes/cancellations across Zoom, Kajabi, and AddEvent
- Keep internal spreadsheets tidy and current
Tools You Might Use (Training will be provided as needed.)
Hubstaff, Zoom, Facebook Groups, Zoho (support), Salesmsg (SMS), Google Drive/Sheets/Docs, Vimeo, Kajabi, ClickFunnels
What We're Looking For (Required Skills/Experience):
- Confident on Zoom and fast in live chat (clear, friendly, professional)
- Strong English writing; excellent attention to detail (you test links before posting)
- Organized multitasker who follows checklists and hits deadlines
- Tech-comfortable (new tools don't scare you)
- Stable internet, camera-ready for calls; comfortable with Hubstaff time tracking
Nice to Have:
- Experience with Facebook group moderation, Kajabi, or Vimeo
- Basic image/editing comfort (e.g., blur personal info on checks)
- Real estate or CRM familiarity (FreedomSoft, GoHighLevel, etc.)
