The Fleet Operation Admin is responsible for supporting the daily operations of a company's vehicle fleet. This role ensures that all administrative aspects of fleet management are efficiently handled, including documentation, scheduling, compliance, maintenance tracking, and communication with drivers and vendors. The ideal candidate is organized, detail-oriented, and has a strong understanding of logistics or fleet operations.
Job Description:
Key Responsibilities:
- Coordinate and maintain accurate records of fleet operations, including vehicle registration, insurance, leasing, servicing, and fuel usage.
- Schedule and track routine vehicle maintenance, inspections, and repairs to ensure compliance with safety standards and regulations.
- Monitor driver schedules, routes, and logs to support operational efficiency and timely deliveries.
- Assist in procurement and disposal of fleet vehicles in collaboration with the procurement team.
- Maintain updated records of vehicle documentation (registration, insurance, licenses, etc.).
- Generate and analyze fleet performance and cost reports; recommend efficiency improvements.
- Handle administrative tasks such as data entry, filing, and document preparation.
- Support driver onboarding and ensure compliance with company policies and legal requirements.
- Communicate with vendors, service providers, and internal departments regarding fleet needs and issues.
- Respond to driver inquiries and support issue resolution related to vehicle performance, maintenance, or scheduling.
Qualifications:
Education & Experience:
- High school diploma or equivalent (required); associate or bachelor's degree in logistics, transportation, business administration, or a related field (preferred).
- Minimum 2 years of administrative experience; prior experience in fleet or logistics operations is an advantage.
Skills & Competencies:
- Strong organizational and multitasking skills.
- Attention to detail with a high degree of accuracy in data management.
- Excellent communication skills (verbal and written).
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with fleet management software is a plus.
- Ability to work independently and as part of a team.
- Basic understanding of transportation regulations and compliance requirements.
- Problem-solving mindset with a customer service orientation.
