Admin Assistant and Cashier

Key Accountabilities & Responsibilities

Administrative Support

  • Handle permits, IDs, passes, documents, and records for unit owners/homeowners/tenants
  • Process payments, requests, and route communications to proper personnel
  • Prepare RFPs, release payments, and assist billing/collections
  • Monitor daily documents, requests, and approvals

Collections & Financial Management

  • Accept and receipt payments (cash, checks, electronic)
  • Ensure timely deposits and accurate Daily Collection Reports
  • Monitor Post-Dated Checks and ensure on-time deposit
  • Achieve collection efficiency targets and maintain financial stability within budget

Operational Efficiency

  • Ensure readiness for project conveyance (documents, utilities, owner files)
  • Update masterlists, ensure timely AGMM, and implement cashless/paperless systems
  • Maintain complete and accessible admin records (soft/hard copies)
  • Comply with internal audit and ProExcel standards

Community Relations

  • Organize community events and quarterly newsletters
  • Address homeowner/tenant concerns promptly (within TAT)
  • Maintain consistent communication and customer satisfaction

Board & Team Management

  • Meet expectations of Board/Developer
  • Ensure staff attendance, compliance, and training (40 hrs/year)
  • Conduct ERT drills, toolbox meetings, and proper filing of official forms
  • Submit timely monthly reports and ensure SOP/House Rules compliance

Required Skills & Competencies

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Strong communication & interpersonal skills
  • Basic Accounting knowledge
  • Customer service-oriented
  • Preferably with technical/property management background

Job Type: Fixed term

Contract length: 12 months

Pay: Php20, Php25,000.00 per month
