What is your mission?

We are looking for an Admin Assistant to provide high-level administrative support, manage complex scheduling, and streamline workflows using modern tools. You will coordinate meetings across time zones, handle email and CRM management, and assist with travel and reporting. If you have strong organizational skills, excellent communication, and experience with AI tools and CRM systems, join us to help drive operational efficiency.

You will provide the best service to our partner brands by performing these tasks:

  • Manage complex scheduling, including recurring and back-to-back meetings across multiple time zones.
  • Prepare and distribute meeting agendas and summaries; coordinate travel and client gifts.
  • Maintain executive inboxes, organize communications, and ensure timely follow-ups.
  • Draft, proofread, and manage professional email correspondence while maintaining confidentiality.
  • Update and maintain HubSpot CRM records; track inquiries and assist sales/marketing teams.
  • Prepare reports, manage documents, and support workflow organization.
  • Use AI tools (e.g., ChatGPT) for polished communications and meeting documentation.
  • Identify opportunities for workflow optimization and process improvement.
Who are we looking for?
  • Bachelor's degree or equivalent professional experience.
  • Minimum 2 years of experience as an Administrative Assistant, Executive Assistant, or Operations Coordinator.
  • Proven ability in calendar management and scheduling across multiple time zones.
  • Excellent English communication skills (written and verbal).
  • Proficiency in Google Workspace or Microsoft Office Suite.
  • Experience using HubSpot CRM or similar systems for client tracking and data updates.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Ability to work independently, maintain confidentiality, and exercise sound judgment.
  • Familiarity with AI tools (e.g., ChatGPT) for drafting communications and creating agendas.
  • Prior experience working with U.S.-based clients or teams.
  • Experience with budget tracking or expense management tools (e.g., Ramp).
  • Background in SaaS, technology, or startup environments preferred.
  • Experience in process improvement or automation to streamline workflows.
