We are expanding rapidly and looking for a
reliable, detail-oriented Administrative Assistant
to support daily operations across our group.

This role is ideal for someone who's organised, tech-savvy, and enjoys supporting multiple teams in a fast-paced, international business environment.

The Role

The Administrative Assistant will provide high-level administrative and operational support to ensure smooth daily business operations

You'll handle scheduling, inbox management, document preparation, and coordination with both onshore and offshore teams. The ideal candidate will be proactive, responsive, and able to manage competing priorities with minimal supervision.

Key Responsibilities

  • Manage calendars, schedule meetings, and organise appointments across time zones.
  • Maintain email inboxes — flag priorities, file correspondence, and draft replies when required.
  • Prepare documents, presentations, and reports using Microsoft Office or Google Workspace.
  • Coordinate between departments (marketing, recruitment, tech) and ensure follow-ups are completed.
  • Assist with invoicing, expense tracking, and record management.
  • Maintain databases and update CRM systems.
  • Support recruitment and marketing projects with administrative tasks.
  • Handle confidential information with discretion and professionalism.

About You

You'll bring:

  • Minimum
    2 years' experience
    as an Executive Assistant, Admin Assistant, or Virtual Assistant.
  • Excellent written and spoken English.
  • Strong organisational and time management skills.
  • Proficiency with Microsoft Office, Google Workspace, and task management tools (Trello, Asana, ClickUp, etc.).
  • Ability to multitask and manage shifting priorities.
  • A high level of professionalism, attention to detail, and reliability.

Bonus points if you have:

  • Experience supporting Australian or international executives.
  • Background in marketing or recruitment administration.
  • Knowledge of basic bookkeeping or CRM systems (HubSpot, , etc.).
