Description

The Admin Head is responsible for managing the company's administrative functions, including facilities and fleet management, safety and security, and general services. This role ensures that all company sites are well-maintained, secure, and operating efficiently to support day-to-day operations.


Principal Responsibilities

  • Oversee facility maintenance across all company sites, ensuring cleanliness and order in common areas.
  • Coordinate housekeeping activities and ensure regular upkeep of all facility spaces.
  • Manage property repairs, renovations, and preventive maintenance schedules.
  • Monitor the condition and operation of air-conditioning units, ensuring minimal downtime through regular servicing.
  • Work closely with the Purchasing Staff to coordinate repair services and maintenance of facility equipment.
  • Consolidate and submit requests for housekeeping tools and consumables.
  • Handle all facility-related concerns across offices, warehouses, and other operational sites.
  • Supervise security personnel across all locations and monitor their performance.
  • Ensure strict implementation of security protocols and coordinate with teams on guard-related issues.
  • Review and file incident reports; escalate employee-related security issues to HR.
  • Maintain complete records of company vehicles, including documentation, maintenance logs, and repair schedules.
  • Coordinate with Purchasing and Logistics for vehicle repairs and downtime management.
  • Manage RFID enrollment for fleet vehicles and monitor account balances to avoid operational delays.
  • Request and monitor budgets for RFID account top-ups.
  • Enforce company SOPs related to LGU compliance, facilities, security, and fleet management.
  • Perform other administrative tasks as assigned by the immediate supervisor.

Education and Qualifications

  • Bachelor's degree in any four-year course required.
  • Experience in the logistics or warehouse industry is an advantage.
  • Safety Officer 2 (SO2) certification is a strong advantage.
  • Preferably with 2–3 years of relevant administrative experience.

Skills and Specifications

  • Proficient in Microsoft Office applications.
  • Familiar with Good Warehouse Practices (GWP) is a plus.
  • Strong communication and interpersonal skills.
  • Highly organized and detail-oriented.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Demonstrates integrity, ethical conduct, and professionalism.
  • Proactive, with initiative to improve systems and processes.
