About the Role

Applus+ is seeking a detail-oriented and proactive Contract Administrator to join our team. You will play a pivotal role in supporting the delivery of contracted services, managing financial and administrative components of client contracts, and working closely with Programme Managers and Contract Stakeholders to ensure the integrity of our commercial operations. This role spans across new construction and ongoing in-service contracts.


Key Responsibilities
Contract Administration & Support

· Maintain and manage client contracts to ensure accurate service delivery.

· Track supplier activities (e.g., travel arrangements, third-party service invoices).

· Reconcile labour hours, consumables, and equipment usage based on work reports and payroll.

· Rectify data inconsistencies in collaboration with HR, Site teams, and Payroll.

· Support client invoicing by preparing weekly reports and ensuring timely and accurate financial claims.

· Liaise with clients to gather documentation, clarify financial queries, and support contract compliance.

· Record and maintain written instructions from clients that differ from contractual terms (e.g., overtime, stand-downs).

· Monitor third-party contractor activities and report on work order variations.

Commercial & Financial Support

· Assist with the preparation of variations, extensions, and updates to contracts.

· Help implement contract rate changes and ensure correct entries in SAP and internal systems.

· Provide administrative and financial support for project and contract delivery.

· Attend contract review meetings with internal and client stakeholders.

· Track contract performance, purchase order expenditure, and profitability metrics.

· Provide insight into timesheet segmentation, payroll comparison, and rate application for billing.

SAP Contract Claims Management

· Create and maintain quotations, material line items, contracts, and invoices in SAP.

· Handle contractual and periodic pricing updates in line with agreements.

· Ensure billing and reporting align with contractual WBS codes and payment terms.

Innovation & Efficiency

· Contribute to commercial innovation projects, including automation and AI tools.

· Implement process improvements that reduce costs for clients and enhance internal efficiency.


General Duties

· Maintain confidentiality and protect Applus+ and client data.

· Support in tendering and quoting processes as needed.

· Train internal stakeholders on contract administration processes and systems.

· Perform ad-hoc tasks as directed by Senior Management.


Quality, Safety & Environment

· Ensure all tasks comply with Applus+' Quality Management System.

· Adhere to the Health, Safety, and Environmental Management System and site-specific regulations.

· Champion safety and risk mitigation in all interactions.


Qualifications & Experience

· Bachelor's degree in Commerce, Accounting, Finance, or equivalent experience.

· Minimum 3-years experience in contract administration or commercial roles.

· Strong understanding of contract and project management processes.

· Proficiency in Microsoft Excel (intermediate level or above) and Office 365.

· Experience with SAP or similar ERP systems is highly desirable.

· Familiarity with industrial agreements and contract labour rates.
