Job Description

As a Services Department Scheduler, you will coordinate service requests, manage technician schedules, and ensure the seamless flow of operations. From logging calls to preparing reports, your role ensures efficiency, accuracy, and excellent customer service across multiple service functions.

Job Overview:

Employment type: Full-time

Shift: Day Shift, 8:30 AM to 5:30 PM (AEST), Weekends Off

Work setup: Hybrid, Makati

The Qualifications We Seek

  • 3 to 5 years of experience or more
  • Strong experience in a dynamic industry requiring excellent organization and flexibility to pivot and adapt planning for top-tier customer service outcomes
  • Strong grasp of English; experience working with Australian customers
  • Strong interpersonal and communication skills - verbal and written
  • Excellent problem-solving skills
  • Quick learner with the ability to adapt rapidly
  • Ability to identify when to ask for further information and/or escalate issues
  • Strong customer focus and self-motivation

Your Daily Tasks

  • Action incoming phone and email requests for Adhoc Service or Emergency Callouts
  • Handle requests from Client Managers or internal personnel promptly
  • Answer general incoming phone enquiries and redirect appropriately
  • Manage the Service Department email account and log service calls in the ERP system
  • Confirm service response priorities and allocate field service technicians
  • Manage technician bookings and reschedule when needed
  • Follow through on all jobs to practical completion
  • Maintain strong communication with technicians and internal teams
  • Facilitate sharing of technician resources across functions to promote excellent customer service
  • Ensure timely completion and return of service reports and documentation
  • Prepare and issue Service Department invoicing
  • Organize supplier purchase orders for parts within 48 hours
  • Prepare monthly service call status reports for Client Managers
  • Ensure accuracy in client invoicing to meet financial targets
