Job Description

As a Maintenance Department Scheduler, you will coordinate testing schedules, manage service requests, and ensure timely reporting and invoicing. By maintaining strong communication with technicians and internal teams, you'll keep critical systems running smoothly and contribute to the success of facility operations.

Job Overview:

Employment type: Full-time

Shift: Day Shift, 8:30 AM to 5:30 PM (AEST), Weekends Off

Work setup: Hybrid, Makati

The Qualifications We Seek

• 3 to 5 years of experience or more
• Strong experience working with dynamic industry requiring excellent organization and nimble flexibility to pivot and/or modify planning to achieve desired customer service outcomes
• Strong grasp of English; experience working with Australian customers
• Strong interpersonal and communication skills - verbal and written
• Excellent problem-solving skills
• Quick learner
• Able to identify need to ask for further information and/or escalate issues
• Excellent customer focus and self-motivation=

Your Daily Tasks

• Handle incoming and outgoing calls regarding testing confirmations, bookings, or changes
• Action emails related to testing confirmations, bookings, or changes
• Facilitate special testing requests from Client Managers or internal personnel
• Manage Work Orders and client Purchase Orders for accurate invoicing
• Regenerate testing runs in ERP for all testing technicians
• Book attendances for external functions (e.g., Annual Assessors, Contractors) for System Interface Testing and test witnessing
• Organize and reallocate testing technicians for attendances or return visits
• Administer fire asset barcodes and key dates in ERP (e.g., Annual Fire Safety Statement dates)
• Maintain communication with technicians and internal personnel
• Ensure timely completion and return of test reports and documentation
• Prepare and issue invoicing for the Maintenance Department
• Act as liaison for important information between business functions
• Support Client Managers with reporting (e.g., Yearly Condition Reports)
• Ensure client account updates (stops, holds, additions, or terminations) are managed properly
• Understand and manage client account stops, on holds, additions or terminations
