Personal Assistant

Your role and work environment

An Eecutive Assistant would work with tasks such as scheduling; reviewing, prioritizing, and responding to s; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings, and any other administrative tasks that help the eecutive perform their job.

Your key responsibilities

  • Act as a first point of contact
  • Proactively manage and maintain the agenda of the Capability Hub Lead by scheduling meetings and conference calls, arranging appointments and prioritizing the most sensitive matters.
    Providing general administrative assistance, such as drafting and memos, and preparing communications on the e- ecutive's behalf.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Accurately recording minutes during meetings, preparing reports, filing, organizing, maintaining, and retrieving corporate comprehensive and accurate records, reports, and documents.
    Collating data to prepare documents for review and presentation by the e- ecutive.
    Answering phone calls and/or- s in a polite and professional manner.
  • Coordination of travel arrangements.
    Performing minor accounting duties (e.g. travel epenses liquidation, e- penses and credit card reconciliation).
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
  • Miscellaneous support tasks.
  • Ad-hoc support for major projects as and when necessary.
  • Liaise with other PAs at international level to ensure commitments are met.

Proven track record and technical skills:

  • Bachelor´s Degree
    5 +years' professional eperience, international environment e- perience is a plus.
    E- cellent written and verbal communication skills
  • Strong time management and organizational skills
  • Ability to organize and coordinate multiple concurrent projects
  • Ability to stay calm under pressure, multitask and adapt to change
    Preferably, have an eperience in overseeing budget and e- penses
  • Strong Microsoft Office skills
  • Proficient English (both spoken and written)
  • Ability to work on an international environment.
  • Tact and discretion
    And e- perience in developing internal processes and filling systems
