Key Responsibilities

The Project & Event Supervisor is responsible for managing and executing client-approved events and campaigns from planning to post-event wrap-up. This role ensures that all logistical, production, and supplier requirements are properly coordinated. It involves close collaboration with internal teams, external vendors, and the Account Manager to ensure smooth and successful project delivery.

1. Project Execution & Timeline Management

  • Lead the day-to-day execution of events and campaigns.
  • Supervise event setup, rehearsals, and live execution while ensuring quality control.
  • Resolve on-site issues quickly and effectively.
  • Execute client-approved projects based on timelines and deliverables set by the Account Manager.
  • Maintain detailed task trackers and ensure all internal deadlines (design, production, logistics, etc.) are met.

2. Supplier Sourcing & Coordination

  • Identify, evaluate, and coordinate with suppliers, venues, production teams, and third-party vendors.
  • Secure and review quotations, negotiate rates, and manage supplier contracts with guidance from the Account Manager.
  • Ensure all supplier outputs meet the required quality and standards.

3. Budget Support & Cost Monitoring

  • Assist the Account Manager in preparing event budgets and cost breakdowns.
  • Track payments, monitor expenses, and ensure all costs align with approved budgets.
  • Maintain organized documentation such as timelines, supplier lists, and team assignments.

4. On-Site Supervision & Quality Control

  • Lead the on-site execution team during ingress, event day, and egress.
  • Ensure setups follow approved plans, branding is correctly implemented, and technical aspects are properly managed.
  • Troubleshoot operational issues in real time and escalate concerns as needed.

5. Team Direction & Coordination

  • Brief support staff and freelancers on their roles and responsibilities before and during events.
  • Monitor task execution and ensure manpower is efficiently assigned throughout the project.

6. Logistics & Operations

  • Prepare logistics checklists, production schedules, and delivery timelines.
  • Coordinate transportation, storage, and equipment requirements before and after the event.

7. Post-Event Wrap-Up

  • Assist in preparing post-event reports, expense summaries, and evaluation feedback.
  • Coordinate the return of borrowed or rented materials.
  • Ensure proper liquidation of receipts and documentation of expenses.

Job Type: Full-time

Pay: Php30, Php40,000.00 per month
