Events Assistant

DUTIES AND RESPONSIBILITIES:
- Overall coordinator, planner and implementer of special events and promotional projects together with the Marketing Manager, Product Manager/Specialist, and/or Division Head
- Sets initial and follow up meetings with the PM/PS and Marketing Manager to determine details such as project objectives, targets, logistical requirements, and all other information needed in the Event Checklist.
- Creates and submits the pre-event report consisting of the following: (Estimated expenses, Event Checklist, Equipment list, Event agenda, Manpower requirements, Gantt chart/calendar, Venue layout, Ocular inspection report)
- Provides regular progress reports to the Marketing Manager, PM/PS and Division head/s leading to the event date.
- Manage and track the expenses for each event & ensure that the budget is managed properly. Submits necessary post-event reports/liquidation.
- Performs telemarketing duties for events or promotional purposes.
- Monitors attendee/participant confirmations through the assigned telemarketer/s and provides a daily report to the PM/PS and Marketing Manager leading to the event date.
- Performs duties & responsibilities related to the event planning, preparations, implementation and evaluation/measurement.
- Prepares the following logistical requirements for the event:
- Venue reservation / Ocular inspection (if necessary)
- Venue physical set up (classroom type, round table, U-shape, registration, product demo areas, etc.)
- Food & Beverages selection / arrangements
- Negotiations with venue / F&B suppliers regarding cost/budget
- Sound system and other technical requirements
- Travel and transportation schedule, reservation and fees of all WSI representatives to the event
- Production of marketing collaterals for distribution
- Product samples, demonstrations and displays
- Promotional items such as giveaways, raffle prizes, etc.
- Distribution and tallying of evaluation forms
- Submits a Post Event Report following the given template for Marketing Manager, Product Manager/Specialist, and/or Division Head
- Coordinates with internal groups (Technical, Operations) or external suppliers for equipment and other logistics requirements
- Oversees the sourcing, design, managing the review and approval, production, delivery and quality control of various promotional items/giveaways needed by various groups in the company
- Handles canvassing, payment and pick-up/delivery of various incentive items
- Update, maintain and manage WSI's various databases (End user, Reseller, Dealer, Corporate) through telemarketing
- Provides on-site support to other events coordinators for ingress, registration, documentation or photo and/or video coverage, egress
- Develop basic knowledge and understanding of WSI's product line.
KNOWLEDGE, SKILLS & ABILITIES/ESSENTIAL COMPETENCIES:
- Graduate of Marketing, Communication Arts, Finance or Business Administration Course
- With sound analytical and problem-solving ability.
- Organized and able to manage a high volume of workload.
- Efficient and accurate with details.
- Possesses good communication and listening skills.
- Able to work under pressure and meet targets and deadlines.
- Competent in basic MS Office applications.
- With experience in telemarketing is an advantage.
- All other functions/responsibilities that may be deemed necessary in ensuring the success of delivery of events management & promotions team
