RESPONSIBILITIES
· Tours and Travel Operations Support – Coordinate travel bookings, accommodation, transport, and guided tours. Confirm daily arrangements with supplier (hotels, guides, transport companies). Ensure seamless delivery of travel itineraries for individual or groups.
· Ground Handling Coordination – Manage airport transfer, baggage handling, welcome services and local transport. Coordinate with airport representatives, drivers, and hospitality staff for smooth guest movement. Track arrivals and departures, adjust logistics based on real-time updates.
· Client and Guest Support – Provide timely and accurate information to clients before and during tours. Respond to client queries, complaints, and service recovery needs during operations. Ensure high-quality guest experiences and satisfaction.
· Bidding and Tendering Support – Assist in preparing documentation for bidding purposes (technical proposals, financial quotes, company profile etc.). Help gather supplier quotation and calculate cost estimate for bid proposals. Ensure timely submission of bids and compliance with the requirements (specially for government or institutional clients).
· Vendor and Partner Coordination - Liaise with service providers (e.g., hotels, transport companies, guides) to secure competitive rates and reliable service. Maintain an up-to-date database of approved vendors. Monitor service quality and follow up on performance issues or feedback.
· Documentation and Reporting - Maintain records of bookings, services rendered, feedback received, and vendor agreements. Keep files organized for auditing, reporting, and future bidding use. Prepare daily/weekly operational and service reports.
· Support in Financial Process - Assist with quotation preparation, invoicing support, and tracking service delivery for billing. Collect and reconcile supporting documents for financial claims or payments
· Compliance and Risk Monitoring - Ensure services comply with health, safety, and travel regulations. Support risk mitigation efforts during tours (emergency contacts, incident response, etc.).
