Key Responsibilities:

General Administration:

  • Manage and oversee daily office operations to ensure efficiency.
  • Support tasks related to the potential transition of the representative office into a locally incorporated entity.

Human Resources:

  • Coordinate recruitment and onboarding activities.
  • Process payroll and maintain employee records.
  • Ensure compliance with labor laws and foster positive employee relations.

Accounting Support:

  • Handle payroll disbursements and manage invoice processing.
  • Coordinate with external accounting partners for audits, taxation, and other financial requirements.

Executive & Secretarial Assistance:

  • Provide administrative and logistical support to Japanese expatriates and visiting business travelers.

Government & Vendor Coordination:

  • Serve as the main liaison with government agencies (e.g., BIR, DOLE) for regulatory compliance.
  • Collaborate with law firms, accounting firms, and other service providers to ensure seamless operations.

Qualifications:

  • Minimum of 5 years' experience in office administration, covering HR, accounting, labor management, and secretarial functions.
  • Background in handling administrative requirements related to setting up a new business entity.
  • Solid understanding of Philippine labor regulations, payroll, and statutory reporting.
  • Discreet in handling sensitive information; proactive and able to work independently.
  • Excellent communication skills in both English and Filipino.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Capable of building relationships and coordinating effectively with government agencies and external service providers.
  • Stable employment history (no frequent job changes).
