Duties and Responsibilities

Purchasing Operations

  • Source, evaluate, and negotiate with suppliers to secure the best pricing and quality.
  • Process Purchase Requests (PRs) and issue Purchase Orders (POs) in compliance with company policies and procedures.
  • Coordinate delivery schedules and follow up on pending orders to ensure timely fulfillment.
  • Maintain accurate and updated records of purchases, pricing, deliveries, and supplier performance.

Cost-Saving Initiatives

  • Identify and implement opportunities for cost reduction and value enhancement in procurement activities.
  • Track and report savings achieved through negotiations, strategic sourcing, and supplier consolidation.
  • Support budget preparation by analyzing historical purchasing data and market trends.

Vendor Accreditation and Management

  • Support the development and enforcement of vendor accreditation standards.
  • Conduct background checks, due diligence, and capability assessments for new and existing suppliers.
  • Maintain the Approved Vendor List (AVL) and ensure all vendor documentation is complete and current.
  • Monitor supplier performance based on delivery, quality, pricing, and compliance indicators.

Compliance and Documentation

  • Ensure all procurement activities comply with internal controls, company policies, and relevant local regulations.
  • Provide necessary procurement documents and reports during internal and external audits.

Collaboration and Support

  • Coordinate with project teams, warehouse, finance, and R&D departments to align procurement strategies with operational requirements.

Qualifications

  • At least 1 year of experience as a Purchasing Assistant, Purchasing Officer, or a similar role.
  • Bachelor's Degree in Business Administration, Supply Chain Management, or a related field.
  • Solid understanding of supply chain and procurement processes.
  • Strong time management skills and ability to meet deadlines.
  • Excellent analytical and problem-solving abilities with a data-driven approach to decision-making.
  • Strong communication and interpersonal skills.
  • Proactive, results-oriented, and able to work effectively in a fast-paced environment.
  • Experience with purchasing software is an advantage.
