POSITION SUMMARY

The Assistant Accounting Manager supports the Accounting Manager in overseeing the financial operations of the property management company and its managed properties (residential, commercial, or mixed-use). This role ensures accurate financial reporting, compliance with accounting standards and government regulations, efficient billing and collection processes, and strong financial controls. The Assistant Accounting Manager supervises a team of accountants and assists in guiding the financial performance of multiple property accounts.

KEY RESPONSIBILITIES

1. Financial Reporting & General Ledger Oversight

  • Assist in preparing consolidated and property-level financial statements (P&L, Balance Sheet, Cash Flow).
  • Review and approve journal entries, reconciliations, and month-end closing activities.
  • Maintain accurate general ledger accounts and ensure proper accounting treatment for transactions.
  • Analyze financial data, trends, and variances, and support management in strategic decision-making.

2. Budgeting & Forecasting

  • Assist in preparing annual operating budgets for both corporate operations and managed properties.
  • Review budget-to-actual performance and provide variance analysis.
  • Support property managers and the finance team in developing financial projections and forecasts.

3. Accounts Payable & Accounts Receivable Management

  • Oversee AP and AR processes, ensuring timely billing, collection, and payment.
  • Review vendor invoices, contracts, and supporting documents for accuracy and completeness.
  • Monitor collection performance across properties and coordinate with property managers on delinquent accounts.
  • Ensure proper cash application and reconciliation for each property account.

4. Cash Flow Monitoring & Treasury Support

  • Monitor cash balances, reserve funds, and project funds for assigned properties.
  • Review bank reconciliations and ensure discrepancies are addressed promptly.
  • Assist in managing disbursements and ensuring compliance with internal controls and approvals.

5. Compliance, Tax & Audit

  • Ensure compliance with relevant accounting standards (e.g., PFRS if in the Philippines) and statutory requirements.
  • Support BIR/IRS/SEC or local government filings, licenses, and permits (if applicable in your country).
  • Coordinate internal and external audits by preparing required documentation and schedules.
  • Oversee issuance of tax certificates, vendor compliance documents, and regulatory reporting.

6. Team Leadership & Process Improvement

  • Supervise accountants, bookkeepers, and billing staff; provide training and performance feedback.
  • Implement process enhancements to streamline accounting workflows, improve accuracy, and strengthen internal controls.
  • Support digital transformation initiatives, including automation and system upgrades.
  • Coordinate with property managers, leasing teams, and operations departments to ensure smooth financial operations.

7. Corporate & Property-Level Support

  • Support the Accounting Manager in developing policies, procedures, and accounting guidelines.
  • Prepare financial presentations for management, property owners, or Board of Directors.
  • Assist with special projects such as capital expenditure tracking, feasibility analysis, and system audits.
  • Handle escalated financial issues from property managers and clients.

QUALIFICATIONS

  • Bachelor's degree in Accountancy, Finance, or related field.
  • 2-5 years of accounting experience
  • Strong understanding of financial statements, GL management, and standard accounting procedures.
  • Experience with accounting software
  • Excellent analytical and problem-solving skills.
  • Strong communication, leadership, and organizational abilities.
  • Ability to manage multiple deadlines across multiple properties.
