Position: Administrative Assistant – Scanner Operator

Type: Project based (3 months)

Work location: Makati

Monthly Salary: 15,500

Work Schedule: Monday to Friday

Working hours: 8:30am- 5:30pm

Job qualifications:

Educational attainment: College level

 1 year work experience in administrative role

 Experience in document management or clerical tasks is preferred

 Proficiency in MS Office and familiarity with document management software or

database

Skills:

 High accuracy in scanning

 Organizing

 Categorizing documents

 Ability to manage multiple task

 Maintain organized filing systems

 Ensure efficient document handling

 Capable of handling physical tasks such as sorting and organizing documents before

scanning

 Ability to work efficiently and meet deadlines

 Familiarity with systems such as SharePoint, Google Drive, or similar tools for

managing digital files

Key Responsibilities:

Document Scanning and Digital Filing:

  • Review and accurately scan SOAs and other documentation from hospitals, suppliers, or internal

departments.

  • Label scanned files clearly using standardized naming conventions.

  • Maintain a structured and organized electronic filing system that allows for quick and accurate

retrieval.

  • Ensure all documents scanned are clear, complete, and stored in accordance with internal policies

and compliance requirements. Document Handling:

  • Track and monitor all documents to ensure none are missing, duplicated, or misfiled.

  • Organize physical copies of documents as needed and prepare them for audit or review.

Administrative and Clerical Support:

  • Assist in general office duties such as filing, photocopying, encoding, and document tracking.

  • Respond promptly to employee requests regarding scanned or encoded files.

  • Relay any discrepancies, missing documentation, or issues to the immediate supervisor.

  • Assist in internal communications regarding documentation or delivery matters.

  • Maintain professionalism when dealing with both internal and external stakeholders.

Compliance, Training, and Process Improvement:

  • Ensure all scanning and document handling processes follow company policies and confidentiality

standards.

  • Contribute to process improvements related to digital documentation and efficiency.

  • Complete a minimum of 16 hours of training annually and actively participate in employee

engagement programs.

  • Maintain audit-readiness by ensuring digital records are accurate, complete, and accessible.

Job Type: Full-time

Pay: Php15,500.00 per month
