Your Role:

As a Therapy Assistant (Senior), you will:

• Manage email and phone enquiries from new and existing clients, including scheduling, appointment changes, and client communications.

• Handle confidential and sensitive information professionally, ensuring potential clients feel safe and comfortable.

• Manage phone calls, emails, and other administrative tasks to support the smooth functioning of the practice.

• Provide high-level support to the Lead Counsellor, including calendar management, correspondence, and preparing documents or reports.

• Support financial operations such as verifying paid sessions, maintaining accurate records of expenses and income, and following up with clients and companies regarding payments.

• Format, proofread, and schedule social media content for Instagram and Facebook using pre-existing Canva templates.

• Update the website with administrative changes such as adding products to the online store, updating team bios, and uploading worksheets and resources.

• Schedule blog posts on the website and proofread or format documents and client-facing worksheets.

• Perform clerical and administrative tasks to support overall operations within a sensitive clinical setting.

What You Need:

Non-negotiables

• Previous experience as an administrative assistant, health care receptionist, or executive assistant.

• Experience working in a therapy, psychology, counselling, or healthcare clinic environment.

• High emotional intelligence and the ability to handle sensitive conversations professionally.

• Experience with Google Calendar, Microsoft Excel, and Xero.

• High proficiency or ability to quickly learn a wide variety of office and website tools (e.g., Pracsuite, Xero, Canva, Webflow, Microsoft Office, Google Workspace) and social media platforms (YouTube, Meta, Instagram, Facebook).

• High school diploma or equivalent; additional qualifications in medical or healthcare administration or experience working for a small business are a plus.

Preferred skills/expertise

• Healthcare office experience, particularly supporting a psychologist, counsellor, or therapist.

• Experience working with Australian companies.

• Experience with social media management, Canva, proofreading, and editing.

• Familiarity with Pracsuite.

• Experience with Meta scheduling tools.

• Experience with Webflow.
