Job Description – Sales Administrator (Offshore)

The offshore Sales Administrator role supports this mission by ensuring accurate, timely and efficient management of booking, scheduling, reporting, and revenue administration across multiple platforms and markets. This role is critical to maximising efficiency, ensuring compliance with booking requirements, and enabling onshore teams to focus on client-facing and strategic engagement.
Position Purpose
To provide offshore operational support for the Sales Department by executing end-to-end campaign booking and revenue coordination. The Sales Administrator ensures accuracy across multiple systems, compliance with approval workflows, and timely confirmations, while also assisting with reporting and troubleshooting. This role plays a vital part in supporting business growth by maintaining seamless campaign delivery across Agency, Direct, and Independent client groups.
Key Accountabilities – Offshore Functions
- Campaign Booking & Administration
- Book and manage campaigns across Aquira, Boostr, Smartsheets, MyNet, and related systems.
- For Agency clients, campaign booking typically accounts for ~60% of workload, covering new campaign entry, revisions, and reporting.
- For Direct & Independent clients, campaign booking can account for up to ~90% of workload, reflecting faster turnaround and fewer schedule adjustments.
- Coordinate booking availability, schedules, and approvals across metro, regional, digital, and independent channels.
Ensure booking compliance, accuracy, and confirmation across all systems and approval stages.
Media Schedules & Reporting
- Prepare and manage media schedules (10–15% of time for Agency work), including reach and frequency adjustments and template revisions to integrate digital requirements.
- Support Account Managers by preparing accurate post-campaign reports (approx. 8 hours weekly for Agency, 10% of workload for Direct & Independent), including detailed Excel and PowerPoint reports.
Maintain reporting accuracy to support revenue tracking and campaign performance analysis.
Material Instructions (MIs) & Approvals
- Chase, organise, and track MIs daily across live campaigns, ensuring scripts, approvals, and due dates are aligned.
- For Agency accounts, this can account for ~20–25% of workload, requiring systematic follow-ups to secure approvals prior to deadlines.
- Maintain accurate documentation of approvals and compliance records across Smartsheets, Aquira, and email workflows.
- Ensure that materials are delivered on time to avoid campaign delays or revenue at risk.
- Troubleshooting & Issue Resolution
- Proactively identify and resolve booking or scheduling issues pre- and post-campaign.
- For Agency work, troubleshooting may account for up to 50% of workload, with campaigns rarely running without revisions or multiple approval cycles.
- Escalate and resolve complex issues such as account changes, billing discrepancies, impression switches, or multi-system revisions across Aquira, Boostr, and scheduling platforms.
- Collaborate with Account Managers, Partnerships, and Digital Administrators to ensure issues are addressed quickly and effectively.
Skills & Attributes Required
- Technical Competence
- Proficiency in Smartsheets, Aquira, Boostr, MyNet, and related booking systems.
- Strong Excel and database management skills, with the ability to reconcile large volumes of data.
- Attention to Detail
- Ability to accurately enter, cross-check, and reconcile booking data across multiple systems.
- Commitment to quality assurance in a high-volume, deadline-driven environment.
Diligence in following multi-step approval processes and workflows without error.
Communication & Collaboration
- Clear and professional written and verbal communication with internal stakeholders including Account Managers, Partnerships, Digital Administrators, Business Executives, and Regional Markets.
- Ability to work collaboratively with onshore teams despite time zone differences.
- Resilient and adaptable, capable of managing competing priorities and handling repetitive tasks while maintaining focus.

Qualifications & Experience
- Demonstrated experience in administrative coordination, preferably within media, advertising, or offshore shared services.
- Familiarity with sales support workflows, booking systems, or campaign management tools such as Aquira, Boostr, Smartsheets, and Salesforce.
- Experience working in offshore or shared services environments is highly regarded.
- Strong problem-solving and analytical skills, with the ability to troubleshoot system and process issues.
- Excellent written and verbal communication skills.
