POSITION SUMMARY
The IT Asset Manager is responsible for overseeing the lifecycle management of the organization's IT assets, from procurement through deployment, maintenance, and disposal. This role ensures that IT assets are effectively tracked, utilized, and optimized to align with business goals and compliance requirements, while managing asset costs and risks.
DUTIES AND RESPONSIBILITIES
· IT Asset Lifecycle Management:
o Oversee the end-to-end lifecycle of IT assets, including procurement, deployment, maintenance, tracking, and disposal.
o Maintain an accurate inventory of all IT hardware, software, and related assets using asset management tools and systems.
o Ensure the timely renewal and proper licensing of software, monitoring compliance with licensing agreements.
o Manage asset retirement and disposal in accordance with company policies, security guidelines, and environmental standards.
· Procurement and Vendor Management:
o Collaborate with procurement, finance, and IT teams to source, acquire, and negotiate contracts for IT assets.
o Work with vendors and suppliers to ensure timely delivery of IT equipment and software.
o Evaluate and select vendors for cost-effective procurement while maintaining quality and adherence to business requirements.
o Manage vendor relationships and performance in terms of contract compliance and service-level agreements (SLAs).
· Cost Optimization and Reporting:
o Track and analyze asset usage and costs, identifying opportunities for optimization and cost savings.
o Prepare and deliver regular reports on asset utilization, depreciation, and total cost of ownership (TCO).
o Assist in budgeting for IT assets and make recommendations for future asset needs based on usage trends and forecasts.
· Compliance and Risk Management:
o Ensure IT assets comply with internal policies, legal regulations, and industry standards (e.g., data security, licensing agreements).
o Conduct regular audits of IT assets, identifying discrepancies and addressing risks related to unauthorized use or lost assets.
o Mitigate risks by implementing effective tracking methods and ensuring proper controls over asset movement.
· Software Asset Management (SAM):
o Oversee software asset management processes, including license compliance and optimization.
o Monitor software usage to prevent underutilization and ensure adherence to vendor terms and agreements.
o Implement and manage software asset management tools to ensure proper tracking and reporting.
· Asset Tracking and Monitoring:
o Implement and maintain asset management systems to accurately track the location, status, and condition of IT assets.
o Monitor asset usage patterns and develop strategies for optimizing asset deployment and maintenance schedules.
o Ensure timely maintenance and upgrades to extend the life of IT assets and avoid performance issues.
· Collaboration and Communication:
o Work closely with IT, finance, and operations teams to understand business needs and plan for asset acquisition and management.
o Communicate with stakeholders on asset management processes, status updates, and performance insights.
o Provide training and support to IT staff on asset management tools and processes.
· Continuous Improvement:
o Identify and implement improvements in asset management processes and tools to increase efficiency and reduce costs.
o Stay up-to-date with the latest trends and best practices in IT asset management, ensuring alignment with industry standards.
o Recommend new tools and solutions to streamline asset management activities.
COMPETENCIES
· In-depth knowledge of IT asset lifecycle management, including procurement, deployment, maintenance, and disposal.
· Familiarity with IT asset management tools (e.g., ServiceNow, Lansweeper), software license management systems, and inventory tracking platforms.
· Ability to analyze asset usage data, identify inefficiencies, and recommend cost-effective solutions.
· Strong understanding of software licensing compliance, regulatory requirements (e.g., ISO/IEC 19770, GDPR), and cybersecurity best practices related to asset management.
· Experience managing vendor contracts, SLAs, and coordinating cross-functional teams to ensure timely delivery and service quality.
· Excellent interpersonal and communication skills to work effectively with IT, finance, procurement, and operations teams.
· High level of accuracy in maintaining asset records, conducting audits, and ensuring compliance.

EDUCATION
· Bachelor's Degree in Information Technology , Computer Science , Business Administration , or a related field.
· Certification in IT Asset Management (e.g., ITIL , ISO/IEC 19770 , CompTIA A+ , or Certified IT Asset Manager (CITAM) ) is preferred.
EXPERIENCE
· Minimum of 3–5 years of progressive experience in IT asset management, software asset management (SAM), or a related field.
· Prior experience with enterprise-level IT environments and asset management systems.
· Demonstrated experience in managing software licenses, conducting audits, and ensuring compliance with vendor agreements.
· Experience working with procurement and finance teams to negotiate contracts and manage budgets.
· Proven track record of optimizing asset utilization, reducing costs, and mitigating risks.
Familiarity with cloud-based asset tracking tools and virtualization environments is a plus.
