Job Description:

As an Account Receivable Specialist, you will manage invoices, ensure accurate collections, reconcile accounts, and support financial reporting. Your role will bridge finance and cross-functional teams to streamline processes and strengthen financial operations across the organization.

Shift: Night Shift, 11:00 PM - 08:00 AM, Weekends Off

The Qualifications We Seek:

• Experience: 2+ years in accounts receivable, billing, or related accounting role in a SaaS, legal services, or professional services environment.
• Education: Degree in Accounting, Finance, or a related field preferred.
• Technical Skills: Familiarity with accounting/ERP systems (e.g., QuickBooks, NetSuite), strong Excel skills.
• Attention to Detail: Accuracy in invoicing, reconciliations, and data tracking.
• Communication: Clear and professional communication style with internal teams and external clients.
• Initiative: Ability to work independently, prioritize tasks, and own the AR process.

Preferred Qualifications:

• Prior exposure to subscription-based billing models or usage-based billing.
• Understanding of legal tech or court reporting services.
• Experience with automation tools or financial systems that integrate into SaaS operations.
• Familiar with managing billing for AI-powered services or transcription tools.

Your Daily Tasks:

Invoice Management & Delivery

• Generate and distribute invoices for subscription plans, hourly deposition fees, transcripts, and other services.

Collections & Payment Application

• Monitor and follow up on overdue invoices.
• Apply incoming payments accurately via credit card or ACH, as per accepted payment options.

Account Reconciliation

• Reconcile customer accounts, resolve discrepancies, and coordinate with customers or internal teams to ensure invoices align with delivered services.

Reporting & Metrics

• Prepare AR aging reports, collection metrics, and present regular insights to finance leadership to aid planning and decision-making.

Month-End & Audit Support

• Assist with closing the AR ledger, posting adjustments, preparing journal entries, and supporting internal or external audits.

Cross-Functional Collaboration

• Work closely with Billing, Customer Success, Sales, and Product teams to ensure invoices reflect accurately delivered services (e.g., remote depositions, transcription, AI products).

Process Improvement & Automation

• Identify bottlenecks and streamline AR workflows, leveraging tech-forward approaches to drive efficiency.
