MLTVRS Tech Ventures Corp (MLTVRS), an RE developer primarily engaged in commercial Solar rooftop projects, is looking to scale up its operations by adding an Admin Manager to its team. The Admin Manager's main objective is to ensure that the office is running effectively, and provide support to the project execution team.

The scope of work are the following:

Core responsibilities

  • Office operations: Asset tagging, equipment issuance, license tracking, travel, scheduling
  • Procurement and vendors: Sourcing, quotes, POs, contracts, vendor SLAs, inventory of office goods, assist in BOM creation,
  • HR administration: Onboarding logistics, ID cards, timekeeping, benefits paperwork, policy rollout, records, performance reviews and management (including goal setting)
  • Finance: Petty cash, expense reports, AP for office vendors, budget tracking for project spending
  • Compliance and EHS logistics: Permits and renewals, insurance certificates, safety drills, incident logs, training schedules
  • Executive support logistics: Board and leadership meeting setup, minutes distribution
  • Process and policy: SOPs, admin handbook, audit readiness, continuous improvement

Team and interfaces

  • Coordination with project execution team, clients and management
  • Works with Accountant, President and site operations team

Typical deliverables

  • Admin budget and monthly variance report
  • Vendor list with contracts and scorecards
  • Asset register and access matrix
  • Compliance calendar and renewal tracker
  • Office SOPs and emergency procedures

Project Execution

  • Permitting and document control for sites
  • Coordination for site crews
  • Warehouse admin for equipment and tools check-in/out
  • EHS onboarding packs for contractual workers

* Handle other admin-related tasks and special projects as assigned by management

Qualifications

  • Bachelor's degree in Accounting, Human Resources, Psychology, Business Administration, or a related field
  • Excellent communication skills (written and verbal)
  • Attention to detail and capable to work independently and also together with a team
  • Expert in the use of MS Office apps
  • Previous work in the RE or Finance industry is a plus but not a requirement
