THE OPPORTUNITY



Our partner is a well-established Australian building certification company based in Southern Sydney, providing professional certification services across a wide range of residential and commercial projects.

Renowned for their accuracy, efficiency, and commitment to compliance, they are seeking a proactive and detail-oriented Administrative Officer to support their team in maintaining smooth project workflows and high service standards.

This position is full time onsite during probation period and based in BGC, Manila - work hours are 5:00 AM to 2:00 PM Manila time, before transitioning to a hybrid working arrangement. 

KEY RESPONSIBILITIES

  • Accurately enter and maintain data within internal and cloud-based systems.
  • Review documentation and application forms for completeness and accuracy.
  • Register new projects and set up related records in line with company procedures.
  • Extract and input relevant information from drawings, plans, and other project documents.
  • Prepare and issue correspondence, notifications, and supporting materials as required.
  • Verify and format documents to ensure compliance with company standards.
  • Maintain organized project files and ensure data integrity across systems.
  • Support teams with general administrative tasks and workflow coordination.
  • Communicate effectively with colleagues and stakeholders through internal and external channels.
  • Identify and escalate discrepancies, errors, or issues to the appropriate personnel.

SKILLS, EXPERIENCE, AND QUALIFICATION

  • Minimum of 3 years' experience in administrative support or data entry roles.
  • High level of attention to detail, accuracy, and time management.
  • Proficient in Microsoft Office and quick to learn new digital tools and systems.
  • Strong written communication skills and ability to work independently in a remote environment.
  • Experience in the construction industry is preferred.
