Job Summary

The HR Generalist will be responsible for managing a wide range of human resources functions, including recruitment, employee relations, payroll support, benefits administration, compliance, and legal matters. This role involves handling disciplinary actions, including issuing memorandums for misconduct, conducting administrative hearings, processing legal cases for terminated employees, and liaising with law enforcement agencies as necessary. The position requires a proactive, detail-oriented individual with a strong understanding of HR procedures and legal protocols.

Key Responsibilities:

  1. Recruitment & Onboarding:

  2. Job Posting & Recruitment: Assist in the recruitment process by posting job openings on various platforms, reviewing applications, and shortlisting candidates.

  3. Interview Coordination: Schedule and coordinate interviews, communicate with candidates, and assist in the interview process.
  4. Onboarding: Manage the onboarding process for new hires, ensuring that all necessary paperwork, orientation, and training materials are completed.
  5. Employee Documentation: Ensure accurate record-keeping for all employee-related documents, including contracts, ID cards, and tax forms.

  6. Employee Relations & Performance Management:

  7. Employee Engagement: Act as a point of contact for employees' inquiries and concerns, providing guidance and resolving issues in a timely manner.

  8. Performance Reviews: Assist in coordinating performance reviews, including setting up schedules, reminders, and collecting feedback from managers.
  9. Conflict Resolution: Mediate and support managers in resolving employee conflicts, grievances, and disciplinary issues, ensuring compliance with company policies.
  10. Employee Wellness: Support the planning and execution of employee engagement and wellness programs.

  11. Payroll & Benefits Administration:

  12. Payroll Support: Assist with payroll processing by ensuring accurate data entry for attendance, overtime, and deductions.

  13. Leave Management: Manage employee leave requests (sick, vacation, maternity, etc.) and ensure proper tracking of leave balances.
  14. Benefits Administration: Administer employee benefits programs, including health insurance, and other perks.
  15. Government Compliance: Assist in the preparation and filing of necessary documents for government including employee contributions (SSS, PhilHealth, Pag-IBIG, etc.).
  16. Computation of 13th Month Pay: Calculate the 13th-month pay for all employees based on their total earnings for the year, ensuring compliance with Philippine labor laws.bMaintain records for 13th-month pay disbursement for auditing purposes.
  17. Last Pay Calculation: Process final pay for employees who have resigned or been terminated, including: Unused leave conversion, separation pay, final deductions, and other necessary computations.
  18. Alphalist Preparation for BIR 2316: Prepare and submit the annual Alphalist of Employees for BIR Form 2316 in compliance with Bureau of Internal Revenue (BIR) requirements. Ensure that all required information, such as total earnings, and contributions, is accurately listed for each employee.

  19. Training & Development:

  20. Training Coordination: Support the planning, organization, and implementation of training programs to enhance employee skills and knowledge.

  21. Career Development: Assist in identifying training needs and development opportunities for employees.
  22. Learning & Growth: Encourage a learning culture by maintaining records of employee training and certifications.

  23. HR Compliance & Policies:

  24. Regulatory Compliance: Ensure that the company adheres to local labor laws and regulations, including employee benefits, taxation, and safety.

  25. Policy Enforcement: Assist in enforcing HR policies, ensuring that all employees are aware of and adhere to company rules and procedures.
  26. HR Audits: Assist in HR audits and ensure proper documentation for compliance purposes.

  27. Employee Records & HRIS Management:

  28. HRIS Management: Maintain accurate employee records in the HR Information System (HRIS) or other databases, ensuring that all data is up-to-date and compliant with legal requirements.

  29. Document Management: Ensure proper documentation and storage of employee files, including contracts, performance evaluations, and certifications.

  30. Dental Employee & Operations Support:

  31. Dental Employee Schedules: Monitor and track the schedules of dental employees (dentists and dental assistants), ensuring that they are adhered to and adjusted as necessary.

  32. Dental Commission Reports: Review and process dental commission reports, ensuring accuracy in commissions and alignment with company policies.
  33. Validation of Dental Sales Reports: Work closely with the IT Support to validate dental sales reports, ensuring that data is accurate and reflective of actual sales performance.
  34. Checking Encoding of Dental Assistants: Validate the encoding and data entries made by dental assistants, ensuring that all patient, treatment, and billing information is accurate and correctly recorded in the system.

  35. Issuance of Memorandums & Administrative Hearings:

  36. Issuing Memorandums for Misconduct: Draft and issue memorandums to employees involved in misconduct, ensuring clear communication of the issue, actions taken, and potential consequences.

  37. Administrative Hearings: Coordinate and facilitate administrative hearings for employees involved in serious misconduct, working closely with management and legal advisors to ensure fairness, transparency, and compliance with company policies.
  38. Disciplinary Actions: Support the HR Manager in implementing appropriate disciplinary actions, including suspension, termination, or other corrective measures based on the outcomes of hearings.

  39. Legal Case Processing & Coordination:

  40. Processing Legal Cases for Terminated Employees: Assist in handling legal cases related to terminated employees, ensuring all necessary documentation is prepared, filed, and compliant with labor laws.

  41. Coordinating with Law Enforcement: Work with legal counsel and law enforcement agencies to address any legal matters or disputes arising from employee termination or misconduct. Ensure timely coordination for legal proceedings, including hearings or investigations.
  42. Litigation Support: Provide administrative support during litigation, including document preparation, tracking case progress, and ensuring that all legal requirements are met.

  43. Administrative & General HR Support:

  44. HR Reports: Assist in preparing HR reports, including headcount reports, turnover analysis, and other HR metrics as required by management.

  45. HR Communications: Support the creation and distribution of HR-related communications, such as policy updates, announcements, and memos.
  46. Employee Offboarding: Assist in the offboarding process for employees, ensuring that exit interviews are conducted and all required documents are completed.

Job Types: Full-time, Permanent
