I. Position Summary

The Purchasing Assistant provides administrative and operational support to the Purchasing Department in sourcing, ordering, and monitoring the supply of truck parts and materials. The role ensures timely procurement, proper documentation, and coordination with suppliers to maintain smooth operations.

II. Responsibilities

  • Check and monitor all pending departmental request for purchasing.
  • Canvass the requested requirements of each department. Provide at least 3 quotations from different Supplier for comparison. Best price and terms win.
  • Create Purchase Order based on winning supplier provided with the complete details needed such as Quantity, Item description, Unit of Measurement, Price, Suppliers name, complete contact information, bank details, terms, mode of payment and etc. PO should be approved by the Authorized Signatories.
  • Prepare a schedule for sourcing of purchaser/canvasser\ and for item pick up from supplier for bulk orders. In case of payment upon pickup, Check or Deposit are highly recommended.
  • Coordinate to the supplier all concerns raised by the warehouse regarding the item received. Arrange a schedule for possible return of items if needed.
  • Match purchase orders to sales orders and distribute
  • Maintains pricing histories and other vendor records. All Suppliers should undergo accreditation process.
  • Contributes to team effort by accomplishing related results as needed
  • Performs other duties as assigned.

III. Experience Requirement

  • Bachelor's degree in Business Administration, Supply Chain Management, or related field.
  • At least 2-3 years of experience in purchasing, procurement, or supply chain (experience in truck or automotive industry preferred).
  • Knowledge of truck parts and automotive supplies is an advantage.
  • Proficient in MS Office applications (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Good communication and negotiation skills.
  • Ability to multitask and work under pressure.
  • High level of integrity and reliability.

Must be willing to be assigned to Edsa Munoz Quezon City.
