Job Summary

The Marketing and Administrative Assistant will provide comprehensive support to the management team by handling a variety of administrative and marketing-related tasks. These include preparing reports and documents, organizing travel arrangements, assisting in meetings, and supporting marketing initiatives. The ideal candidate should be organized, detail-oriented, and capable of managing multiple priorities efficiently.

This role is open to fresh graduates, particularly those with a degree in Marketing Management or related fields, who are eager to gain professional experience in both marketing and administrative functions.

Responsibilities:

  • Preparing financial statements, reports, memos, invoices, letters, and other documents.
  • Answering phones and routing calls to the correct person or taking messages.
  • Handling basic bookkeeping tasks.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Performing office duties that include ordering supplies and managing a records database.
  • Experience as a virtual assistant but not required.
  • Opening, sorting, and distributing incoming faxes, emails, and other correspondence.
  • Providing general administrative support.

Qualifications:

  • Bachelor's degree in Marketing Management, Business Administration, or any related field.
  • Fresh graduates are encouraged to apply.
  • Proven experience as an executive assistant, administrative assistant, or in a related support role is an advantage.
  • With project management skills.
  • In-depth understanding of the full Microsoft Office suite.
  • Strong organizational skills with the ability to prioritize daily workload.
  • Must be able to meet deadlines in a fast-paced and dynamic environment.
  • Proactive approach to problem-solving and strong decision-making abilities.
  • Excellent verbal and written communication skills at a professional level.
