Marketing/Admin Assistant

Job Summary:
Strong organizational and coordination skills with the ability to efficiently handle multiple marketing and administrative tasks. Able to communicate clearly and professionally with internal teams, business partners, and clients. Supports marketing, sales, and business partner operations while maintaining accuracy, timeliness, and brand consistency across all materials and documentation.
Duties & Responsibilities:
• Operations Department
Prepare and process documents such as Purchase Requisitions, Requests for Purchase Orders, Sales Invoices, Delivery Receipts, and related sales documentation.
Handle Bidding Documents, Accreditations, and Documentation Renewals.
Review and process Non-Disclosure Agreements (NDAs).
Manage BP Deal Registration, Portal Access, Lead Acceptance, and Database Records.
Coordinate BP Training, Competency Tracking, Promotions, Rebates, and Incentive Claims.
• Travel Coordination:
Process and assist with flight and hotel bookings, reimbursements, and attendance monitoring for assigned Sales Teams.
Coordinate with Admin and regional teams (Cebu and Davao) for travel-related arrangements.
Support logistics and preparation for internal SSI events.
• Sales Support
Provide documentation and coordination support for the Davao and Cebu Sales Teams.
Manage reimbursements, DHL documentation filing, and per diem processing.
Coordinate collection, invoicing, drop shipments, and audit-related documentation.
• Marketing and Brand Presence:
Assist in planning and execution of marketing events, enablement sessions, and client engagement activities.
Coordinate internal marketing initiatives such as SSI Birthday Posts, Partner Announcements, and Event Promotions.
Support event hosting, brand presentations, and partner enablement programs.
Ensure consistency with SSI branding and communication standards across materials.
• Reporting / Backup and Support:
Provide administrative and reporting support to management and the Admin Team.
Partner with Business Partner (BP) Management for board reports and activity summaries.
Serve as backup support for ongoing departmental initiatives and ad hoc projects.
Collaborate with other departments to ensure seamless coordination and workflow efficiency.
Qualification:
• Bachelor's Degree in Business Administration, Marketing, Commerce, or any related field.
• Minimum of 2 years of experience in marketing or administrative support, preferably in a corporate or client-facing environment.
• Strong organizational, time management, and multitasking abilities.
• Proficiency in Microsoft Office and Google Workspace applications.
• Familiarity with digital marketing tools (e.g., Canva, social media management,email marketing platforms) is an advantage.
• Excellent written and verbal communication skills.
• Detail-oriented, dependable, and capable of working under pressure
