  • As directed, be responsible for the maintenance of designated facilities and informing the management when work needs to be carried out

Do official banking as required, cash checks, and make payments at the bank.

Assist in photocopying/printing as directed.

Work on duty roster shift as directed by the Head.

Answers and direct phone calls, take messages, and filed/answer all routine and non-routine questions.

Serve as office manager to include responsibility for office supplies, secure maintenance of office equipment, establish and maintain an accurate calendar. Providing high quality customer service using professionalism, confidentiality

Manage the key control system which includes maintaining the key log systems and key cabinet

Receipt and dispatch of small parcels such as recorded delivery

Moving all parcels, paperwork, materials, and equipment around the office

Receiving and recording delivered

Undertaking conference room set up for meetings

Routine cleaning of office premises, ordering office supplies and distribution

Carrying out routine checks and inspection of facilities and equipment

Providing initial response to any reported faults

Following extensive health and safety procedures to control risks to others, and to assist with specific health and safety procedures such as fire evacuation practices and the like

Performs related works as required but not limited to Administration, Finance, and Human Resources matters.

Qualifications/Requirements

Proven experience as an administrative assistant or office admin assistant

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

High School degree: additional qualification as an Administrative assistant or Secretary will be a plus
