Maintenance Coordinator

  • Process tenant's maintenance reports and log correctly based on urgency
  • Raising works orders to send to appropriate contractors
  • Monitor the works required from start to finish and keep all parties updated in a timely manner
  • Assess and schedule follow-up work based on priority and urgency
  • Chase contractors to ensure jobs are completed on time and avoid delays
  • Act fast and calmly when urgent issues arise, ensuring the right trades are dispatched quickly and safely
  • Notify and liaise with landlords throughout
  • Keep internal systems updated thoroughly with notes
  • Schedule gas and electric safety checks 1 month prior to end date
  • Upload completed safety documents
  • Request monies from landlords
  • Raising invoices and uploading them in the system
  • Communicate with in-house maintenance team and property managers
  • Manage a shared inbox and keep up to date

Requirements

  • Experience in Administrative profession. Preferably within Real Estate industry or within Property Management
  • Hands on experience in state agency, tenants management, and/or housing
  • Solid working knowledge of MS Office applications (Excel, Word), and the ability to create, edit, and manage PDF files.
  • Experience in Repick CRM and Rent Smart Wales are highly advantageous
  • Ability to talk to customers/clients. Excellent written and verbal English communication skills
  • Comfortable with a fast-paced environment. Be able to work under pressure and meet deadlines
  • Strong discipline, integrity, and professionalism in handling tasks and responsibilities.
  • Be able to work closely within a team and autonomously. Independent and self-driven, able to work effectively with minimal supervision.
  • Highly adaptable and trainable, with the focus to quickly learn new systems and processes.
  • Must be willing to work hybrid setup following UK Business Hours
  • Equipped with a quiet work-from-home setup and a stable high-speed (fiber) internet connection for uninterrupted operations.
  • A plus if holding a bachelor's degree in a field like business, real estate, project management, or a related subject
