We are a growth partner agency looking for a highly organized and proactive Virtual Assistant to support our founder and the wider team. You will be the oil that keeps our daily operations running smoothly, ensuring our team can focus on helping ambitious companies reach their potential.

What You'll Do:

  • Inbox Management: Manage and organize emails, prioritizing urgent correspondence and drafting responses to keep communications flowing efficiently.
  • Operational Support: Manage daily operations and administrative workflows to ensure the business runs seamlessly.
  • Founder Support: Help optimize and manage day-to-day founder tasks, including calendar management, appointment setting, and personal administrative assistance.
  • Team Coordination: Act as a bridge between team members, follow up on pending items, and ensure internal projects stay on track.
  • Data Management: Assist with data entry and maintain accurate records in our CRM (HubSpot) and other internal databases.
  • Meeting Support: Prepare meeting agendas, take detailed minutes during internal/client meetings, and track action items.
  • Research & Reporting: Conduct research and assist in generating reports for the management team.

What We're Looking For:

  • Experience: Minimum of 1-2 years of experience as a Virtual Assistant, Executive Assistant, or Project Coordinator.
  • Communication: Excellent written and verbal English communication skills are non-negotiable.
  • Tech-Savvy: Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) is required.
  • HubSpot Knowledge: Familiarity with HubSpot or similar CRM systems is a strong plus.
  • Organization: Exceptional organizational and time-management skills with the ability to multitask.
  • Proactivity: You don't just wait for instructions; you anticipate needs and solve problems before they become roadblocks.
  • Reliability: A reliable high-speed internet connection and a professional remote work setup.
