Position Overview: We are seeking a results-driven, detail-oriented, and hands-on Payroll Specialist to lead and execute bi-weekly and semi-monthly payroll operations, ensuring full compliance with both Philippine and U.S. labor laws. The ideal candidate will have strong working knowledge of U.S. payroll systems, wage and hour regulations, and benefits-related deductions, along with deep expertise in Philippine payroll processing, labor standards, and statutory compliance.
Beyond core payroll responsibilities, this role will also support essential HR functions, including employee relations and benefits administration, primarily for our Makati, Philippines office.
Reporting Structure
- Payroll (75%) – Reports to the Payroll Manager
- HR Support (25%) – Reports to the Director of HR
This is a hybrid role, based in our Makati office, with required in-office presence on Tuesdays, Wednesdays, and Thursdays. The hours for this position are 6:00 am - 3:00 pm local time.
Base Pay Range
We offer a competitive compensation package designed to attract top talent and reward performance. In addition to base pay, this position may be eligible for additional earnings through our Incentive Bonus Program, depending on the role. Final compensation decisions are made based on a variety of factors, including location, education, and prior experience, to ensure fairness and alignment with the role's responsibilities and market standards.

Expected Posting Timelines
This position will be open for a minimum of 5 days, a maximum of 90 days.
The Day-to-Day
Payroll & Benefits Administration- Process and manage end-to-end payroll operations in compliance with Philippine tax laws, including withholding tax, SSS, Pag-IBIG, and PhilHealth contributions.
- Support and/or process U.S. payroll in coordination with finance or third-party vendors, including accurate entry of timekeeping, overtime, bonus, and commission data.
- Ensure correct application of U.S. federal and state wage and hour laws (FLSA), benefit deductions (401(k), HSA/FSA), and taxation requirements (FICA, FUTA, SUTA).
- Assist in resolving payroll discrepancies, responding to employee payroll inquiries, and ensuring timely and accurate payments in both the Philippines and the U.S.
- Ensure compliance with Philippine labor laws, government regulations, and other statutory requirements.
- Assist with compliance in U.S. payroll-related reporting, such as W-2/W-4 forms, 941 filings, and year-end tax documentation, in coordination with the U.S. finance/payroll team.
- Maintain awareness of different state-specific requirements (e.g., CA, TX, NY), including wage orders, sick leave accruals, or state disability insurance (SDI).
- Manage and enter garnishments, levies, and child support orders in accordance with state/federal requirements for US Payroll.
- Prepare documents and respond to internal/external audits (e.g., Department of Labor, IRS).
- Maintain employee records in accordance with legal requirements, ensuring proper documentation and filing.
- Prepare and submit necessary government reports (SSS, Pag-IBIG, PhilHealth, BIR) including Alphalist submissions.
- Compute and ensure timely release of 13th-month pay, prorated for resigned employees as needed.
- Accurately compute final pay including unused leave, last salary, tax clearance, etc as per Philippines Regulations
- BIR tax table update, apply updated tax tables and ensure annualization of tax at year-end.
- Manage SSS salary loans, Pag-IBIG loans, maternity benefits, and PhilHealth claims coordination.
- Stay updated on changes to labor laws and HR best practices (both Philippines and U.S.).
- Comply with all company and customer policies, procedures, as well as quality, safety, and security standards.
- Act as a point of contact for employees regarding HR policies, procedures, and workplace concerns.
- Facilitate new hire and actively contribute to the development of training programs.
- Address employee grievances and issues, facilitating mediation and conflict resolution when necessary.
- Organize employee engagement programs and initiatives to foster a positive workplace culture.
- Maintain accurate employee records, including personal details, job information, and benefits.
- Handle HR administrative tasks, such as, preparing HR reports for payroll, and assisting with internal and external audits.
- Generate and manage employee pay data reports and payroll summaries for both PH and U.S. teams.
- Distribute PH HR-related payroll and local holiday communications and support internal compliance tracking.
- Support HR initiatives related to employee retention, workplace safety, and organizational development.
- Assist in organizing company events, team-building activities, and employee recognition programs.
- Assist in managing and administering local benefit plans and programs, including enrollment, employee updates, and coordinating annual physical examinations (APE).
- Manage the exit interview process and present key findings to.
- Perform other responsibilities as required.
Education and Experience
- Bachelor's degree in Human Resources, Business Administration, Psychology, or related field.
- 3-5 years of experience in an HR role (HR generalist experience preferred).
- In-depth knowledge of Philippine labor laws, regulations, benefits, payroll and HR best practices.
- At least 1–2 years of hands-on experience in U.S. payroll administration, including exposure to multi-state payroll, tax compliance, and payroll system platforms.
- Familiarity with U.S. labor regulations related to payroll, including overtime, exempt/non-exempt classifications, and benefit deductions.
- Proficient in using HR software (e.g., HRIS, payroll systems); Google Suite and/or MS Office Suite (Excel, Word, PowerPoint).
- Strong interpersonal, communication and presentation skills (oral, written and verbal) with the ability to build relationships at all organizational levels.
- Excellent organizational and time management skills, with the ability to manage multiple tasks and deadlines.
- Capable of maintaining confidentiality and managing sensitive information with discretion.
- Excellent at multitasking, managing time effectively, prioritizing tasks, completing projects/assignments on schedule, and achieving successful outcomes with minimal supervision;
- Must be flexible and accessible with ability to work outside of normal business hours as needed;
- Payroll and / or HR Certification a plus;
- IT/Software Development Industry experience a plus.
