Reports To: Recruitment Manager / Senior Consultant

Department: Recruitment Operations

Position Overview:

The Contract and Compliance Coordinator is responsible for managing end-to-end contract administration and compliance processes between nurses, healthcare facilities, and internal consultants. This role ensures that all contracts, documentation, and onboarding requirements are accurately completed, tracked, and maintained to support smooth placements and regulatory compliance.

Key Responsibilities:

Contract Management

  • Draft and prepare nurse and facility contracts.
  • Update and maintain relevant spreadsheets and contract tracking systems.
  • Manage contract extensions, amendments, and corresponding updates.
  • Coordinate with nurses and facilities regarding compliance requests or contract changes.
  • Liaise with consultants to resolve any negotiation points or pre-start requirements for nurses.

Contract Follow-Up

  • Ensure all contracts are signed by both parties before commencement.
  • Proactively follow up on unsigned or pending contracts.

Compliance Coordination

  • Send compliance reminders to nurses on contract or those about to start.
  • Update the team (e.g., Kayla) with compliance information every Monday afternoon.
  • Monitor and manage expired or soon-to-expire nurse competency documents.

Arrival and Onboarding Logistics

  • Confirm rosters, arrival details, and accommodation for nurses starting new contracts.

NSW Health Administration

  • Prepare employee packs for NSW Health hires.
  • Follow up on NSW Working With Children Check (WWCC) statuses.

File and Activation Management

  • Notify consultants once final file reviews are complete and candidates are ready for activation.
  • Update recruiters on candidate availability and urgency.
  • Send welcome emails to activated nurses.
  • Create and maintain individual nurse folders in the Nurse Files system.

FCC Resume Preparation

  • Create FCC resumes during final file reviews using JobAdder interview responses and other available data.

Competency Tracking

  • Regularly update and manage the tracker of nurses with expiring or missing documents.

Ad Hoc Support

  • Assist consultants with follow-ups, information gathering, and resolving document-related issues as needed.

Qualifications and Skills:

  • Experience in contract administration, compliance coordination, or recruitment support (preferred).
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and recruitment systems (e.g., JobAdder).
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Strong interpersonal and coordination skills

Job Types: Full-time, Permanent

Pay: Php25, Php35,000.00 per month
