Your Core Responsibilities:

Financial Management:

  • Basic bookkeeping, invoice preparation and accounts receivable tracking
  • Assist with budgeting activities and financial reporting
  • Prepare and process invoices, ensuring timely payments
  • Conduct fiscal reviews, survey, and collect financial information

Vendor & Operations Coordination:

  • Maintain relationships with vendors and service providers
  • Track expenses, manage financial documentation, and oversee procurement
  • Coordinate operations, including purchasing, equipment, property inventory, and disposal
  • Connect with office vendors for repairs, improvements, and routine maintenance
  • Maintain complete and accurate records of business-related information and inventory

Administrative & Office Support:

  • Manage and maintain written and digital files, conduct data entry, and ensure information accuracy
  • Assist in coordinating meetings, conferences, and events—prepare agendas, schedules, and record minutes, including materials preparation, room setup, catering, parking arrangements, and related requirements
  • Support general office functions, including purchasing supplies and managing office equipment
  • Research and collect information to support various projects and initiatives
  • Handle clerical duties such as correspondence, document preparation, and record keeping, including Customer Relationship Management (CRM) system updates

Executive Support:

  • Manage leadership schedules, coordinate meetings, and prepare materials
  • Support leaders with day-to-day tasks and special projects

Required Experience:

  • At least 2 years of experience in office administration, executive assistance, operations, or a similar role.
  • Proven experience managing vendors, overseeing office logistics, or coordinating administrative activities.
  • Strong organizational skills with the ability to multitask and handle varied responsibilities efficiently.
  • Experience with basic bookkeeping, including transaction recording and managing financial documentation.
  • Experience working in entrepreneurial or fast-paced organizations is a plus.
  • Familiarity with tools like , Slack and CRM is preferred.
