Job Purpose:
The Recruiter / Admin will handle full-cycle recruitment and general administrative functions to support Caring-One Iloilo's operations. This includes sourcing and hiring qualified candidates, maintaining compliance with government requirements, managing business renewals, and coordinating with various agencies (DOLE, SEC, SSS, PhilHealth, Pag-IBIG, BIR, and LGU offices).
This role requires an organized and resourceful individual who can balance people-focused recruitment with the administrative and compliance needs of a healthcare BPO. The position also entails coordination with the Subic Admin under ASI for unified processes and reporting across sites.
Key Responsibilities:
Recruitment & Onboarding
- Manage full-cycle recruitment: posting, sourcing, screening, interviewing, and endorsing candidates for final selection.
- Build and maintain a steady talent pipeline for current and future hiring needs.
- Coordinate with schools, training institutions, PESO, and other agencies for job fairs, career talks, and recruitment partnerships.
- Represent Caring-One in external recruitment activities and promote the company's brand as an employer of choice.
- Conduct background checks and ensure complete pre-employment documentation.
- Prepare job offers, contracts, and onboarding documentation for new hires.
- Assist in new hire orientation and ensure completion of 201 requirements.
Administrative & Compliance Support
- Coordinate with government agencies (DOLE, SSS, PhilHealth, Pag-IBIG, BIR, LGU, etc.) for statutory compliance, reports, and updates.
- Support business permit renewals, annual registration, and documentation for compliance audits.
- Maintain and update company records, certificates, and licenses.
- Track renewal schedules and prepare necessary documentation ahead of deadlines.
- Assist HR and Admin teams in monitoring compliance-related requirements and submissions.
Office & Site Administration
- Coordinate with building management for office maintenance, utilities, and safety requirements.
- Support administrative logistics for employee engagement activities, HR programs, and site events.
- Manage and track office supplies and ensure proper documentation for replenishment requests.
- Assist in coordinating vendor transactions and reimbursement processing.
Cross-Site Coordination
- Work closely with the Subic Admin under ASI to align recruitment and administrative procedures.
- Share documentation, reports, and updates to maintain consistency in compliance and reporting standards.
- Assist in implementing site-specific or company-wide HR and Admin initiatives.
Qualifications
- Bachelor's degree in Liberal Arts, Social Sciences, Psychology, Business Administration, or any related field.
- At least 1–2 years of experience in recruitment and/or administrative work, preferably in a BPO or service-oriented company.
- Familiarity with DOLE, SSS, PhilHealth, Pag-IBIG, BIR, and local government processes.
- Experience coordinating with schools, PESO, or government agencies for job fairs or recruitment drives preferred.
- Strong communication, coordination, and organizational skills.
- Proficiency in MS Office and online recruitment platforms
- Ability to multitask and manage priorities with minimal supervision.

Working Conditions
- Site-based role at Caring-One Iloilo.
- Standard schedule aligned with U.S. client hours (night shift: 8 PM – 5 AM, Monday to Friday).
- Schedule may be flexible as needed to attend daytime government transactions, job fairs, or school partnerships.
- May be required to extend hours during audits, compliance deadlines, or recruitment events.
- Reports directly to the HR Manager, with dotted-line coordination to Subic Admin under ASI.
