We are seeking a talented and detail-oriented Virtual Assistant (VA) provides remote administrative, technical, and creative support to clients, helping streamline operations and enhance overall business efficiency. Key responsibilities typically include managing calendars and emails, scheduling appointments, conducting online research, creating presentations, maintaining social media accounts, and offering customer support.

The role is highly flexible, with specific duties tailored to the client's unique needs and the VA's individual expertise. Whether assisting entrepreneurs, executives, or small business teams, the primary goal of a VA is to handle day-to-day tasks efficiently, allowing clients to focus on strategic and revenue-generating activities.

DUTIES AND RESPONSIBILITIES:

  • Email and Calendar Management

  • Monitor, organize, and respond to emails on behalf of the client

  • Schedule and manage appointments, meetings, and reminders
  • Coordinate travel arrangements and itineraries
  • Administrative Support

  • Prepare and edit documents, reports, and presentations

  • Manage file organization and cloud storage systems (e.g., Google Drive, Dropbox)
  • Data entry and database management
  • Customer Service

  • Respond to client/customer inquiries via email, chat, or phone

  • Process orders, refunds, and handle basic customer complaints
  • Maintain CRM systems (e.g., HubSpot, Zoho, Salesforce)
  • Social Media Management

  • Create, schedule, and manage content for various social platforms

  • Monitor engagement and respond to comments/messages
  • Analyze social media performance metrics
  • Online Research

  • Conduct market, competitor, or product research

  • Compile findings into summaries or detailed reports
  • Research tools, vendors, or platforms as requested
  • Content Creation & Marketing Support

  • Assist with blog writing, editing, and formatting

  • Create newsletters and email campaigns using tools like Mailchimp or ConvertKit
  • Design simple graphics using Canva or similar tools
  • E-commerce and Website Support

  • Manage product listings, inventory updates, and order processing

  • Provide backend support for platforms like Shopify, WooCommerce, or Etsy
  • Update website content via CMS platforms (e.g., WordPress, Wix)

Qualifications for a Virtual Assistant:

  • Proven experience as a Virtual Assistant or in a relevant administrative/support role for at least 2 years handling foreign clients with a focus on copywriting and content creation
  • Must have a Bachelor's Degree
  • Proficient in productivity tools such as Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
  • Strong organizational and time management skills with the ability to multitask and prioritize work
  • Excellent verbal and written communication skills
  • Familiarity with remote communication tools (e.g., Zoom, Slack, Microsoft Teams)
  • Basic knowledge of CRM systems (e.g., HubSpot, Zoho, Salesforce)
  • Ability to handle confidential information with discretion
  • Self-motivated, proactive, and capable of working independently with minimal supervision
  • Experience with social media platforms and scheduling tools (e.g., Facebook, Instagram, Hootsuite, Buffer)
  • Knowledge of email marketing platforms (e.g., Mailchimp, ConvertKit, ActiveCampaign)
  • Comfortable with basic graphic design tools (e.g., Canva)
  • Strong attention to detail and problem-solving abilities
  • Tech-savvy with the ability to learn new software quickly
  • Flexibility to adapt to changing priorities and client needs
  • High-speed internet connection and reliable computer setup
  • Proficient in SEO best practices, keyword research, and writing optimized content
  • Strong organizational and time management skills to handle multiple projects and deadlines
  • Hybrid set up and must be flexible with graveyard shift.
