Assistant Administrative Manager/Executive Assistant:

Office Management:

  • Supervise and coordinate administrative staff, including hiring, training, and performance evaluations.
  • Develop and implement office policies and procedures.
  • Manage office space, including allocation and organization.
  • Oversee office maintenance and operations.
  • Manage office supplies and inventory.
  • Prepare reports, memos, and other communications.
  • Manage budgets and track expenses.

Personal Assistant Support:

  • Manage calendars, schedules, and appointments for the Director
  • Handle communication, including phone calls, emails, and social media messages.
  • Arrange travel, accommodation, and other logistics.
  • Prepare presentations, reports, and other materials.
  • Handle errands and personal tasks as needed.
  • Coordinate meetings and events.

Skills and Qualifications:

  • Administrative Skills: Strong organizational skills, attention to detail, and proficiency in Microsoft Office Suite and other relevant software.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with diverse individuals.
  • Interpersonal Skills: Ability to build rapport and maintain positive relationships with colleagues, clients, and stakeholders.
  • Problem-Solving Skills: Ability to identify and resolve issues efficiently and effectively.
  • Time Management Skills: Ability to prioritize tasks and manage time effectively.
  • Experience: Prior experience in administrative roles, preferably with some experience as a personal assistant or in a similar support capacity.
  • Education: A bachelor's degree in business administration, office management, or a related field is often preferred.
