Job Summary:
The Facilities Coordinator – Soft Services is responsible for overseeing and coordinating all soft services within the facility to ensure a clean, safe, and pleasant environment for employees, clients, and visitors. This includes managing housekeeping, pest control, landscaping, waste management, security coordination, front desk/reception, and other support services in compliance with company standards and contractual agreements.
Key Responsibilities:
- Coordinate and supervise daily soft services operations, including housekeeping, janitorial services, landscaping, pest control, and waste management.
- Monitor service providers' performance and ensure compliance with service level agreements (SLAs) and quality standards.
- Liaise with vendors, contractors, and internal teams to address operational issues and service requests promptly.
- Maintain service schedules, inspection checklists, and operational records for reporting and compliance purposes.
- Ensure all soft services comply with safety, health, and environmental regulations.
- Respond to and resolve facility-related complaints or requests from employees and tenants in a timely manner.
- Oversee consumables and cleaning materials inventory, ensuring timely replenishment and cost control.
- Support reception/front desk operations and coordinate events or meeting room setups as required.
- Conduct regular inspections of facility areas to maintain high standards of cleanliness and orderliness.
- Assist in budget preparation and cost monitoring for soft services activities.
- Prepare and submit operational reports to the Facilities Manager or Head of Facilities.
Qualifications:
- Bachelor's degree in Facility Management, Business Administration, Hospitality Management, or a related field (preferred).
- At least 2–3 years of experience in facilities coordination, preferably in soft services.
- Strong knowledge of housekeeping, waste management, pest control, landscaping, and other soft services operations.
- Good communication, negotiation, and vendor management skills.
- Ability to multitask, work independently, and respond quickly to operational needs.
- Proficiency in MS Office applications and familiarity with facility management systems.
