Position Summary
The Vendor Coordinator is a key liaison between our company and external suppliers,
ensuring timely and accurate communication, data updates, and production follow-up.
Based in our Cebu office, this role supports the sourcing and logistics teams by maintaining
up-to-date supplier production statuses in SAP and Supplier Net, organizing container
shipments, and scheduling inspections with our QC team. The Vendor Coordinator plays an
essential role in helping the business maintain on-time deliveries and transparent vendor
performance reporting.
Key Responsibilities
SAP / Supplier Net Maintenance
Ensure supplier delivery dates are reviewed and updated weekly in SAP and/or
Supplier Net.
Follow up with vendors to confirm and document any changes to production or
shipment schedules.
Container Planning & Logistics Coordination
Coordinate with suppliers to pre-plan shipments and container loads a minimum of
30 days in advance.
Support the logistics team in identifying ready-to-ship items, consolidating loads,
and tracking expected container booking dates.
Inspection Scheduling
Act as the liaison between the supplier and the QC team to schedule inspections in a
timely manner.
Ensure all relevant information and documentation is shared with QC prior to
inspection.
Supplier Communication & Updates
Provide regular updates on supplier production status, risks, and shipment
forecasts.
Help identify issues impacting delivery timelines and escalate as necessary to the
sourcing or operations team.
Administrative & Support Tasks
Maintain clear communication records with vendors.
Generate weekly reports summarizing key vendor updates and action items.
Assist with documentation requests, label approvals, or compliance checks as
needed.
Qualifications
Bachelor's degree in Supply Chain, Business Administration, or related field.
2+ years of experience in sourcing, supply chain coordination, or vendor management.
Strong organizational skills and attention to detail.
Excellent communication skills in English (spoken and written).
Familiarity with SAP and/or similar ERP platforms preferred.
Proficient in Microsoft Excel, Outlook, and reporting tools.
Ability to work independently and manage multiple vendor accounts simultaneously.
